Job Description

PA COVENTRY BASED SALARY RANGE BETWEEN £22,000 - £26, 341 WORKING 37 HOURS A WEEK!Are you an experience PA who is looking for a position that will offer you a work life balanceAre you happy working half the week in the office and the other half from homeDo you want to working for a company that offer AMAZING benefits, then read on…….Job responsibilities:

  • Managing complex diary arrangements including scheduling, prioritising, organising and coordinating events and activities.
  • Supporting project leads with project management, event and meeting logistics for teams, working groups or boards as required.
  • Provide support for the production of materials for meetings, events, workshops including formatted documents, presentations and supporting materials.
  • Provide local HR support for the assigned teams including but not limited to:
    • Recruitment administration: prepare and submit advert requests, including liaison with approved agencies if required.
    • Complete on-boarding and induction schedules, following (and contributing to) Group-wide processes and checklists.
    • Process and report absences - annual leave, sickness, maternity etc.
    • Manage contractual changes liaising with line managers, team leaders and HR colleagues.
    • Complete the Group Leavers process, including the return of equipment, co-ordination of exit interviews and any other leaving activities.
    • Occasionally approve timesheets for third party project support staff.
Pro-active 1:1 support to at least one of the Groups Directors, anticipating requirements, monitoring and prioritising their pending commitments; helping the Director to maintain a well organised office and meet their management and strategic objectives.
  • Complex diary management, identifying priorities and using judgment to avoid conflicts.
  • Monitor in- and outgoing correspondence, draft replies and identify or action follow ups.
  • Provide administrative support to the director ahead of meetings and events and ensure the director is fully briefed; producing and researching information, preparing papers and other ad-hoc documents as required.
  • To advise on impending work deadlines for both internal and external commitments (reports, presentations, conferences, projects) and provide support for these.
  • Provide finance support to Director(s): produce regular budget reports and monitor expenditure against budget plan, managing travel and credit card expenses and advise on the Universitys procurement policies.
  • Prepare travel documents and visas, meeting papers and other relevant information.
Skills and experience required:3-5 years of PA/EA experienceStrong working with MS Office including Word, Excel and PowerPointAbility to manage highly confidential and sensitive mattersHighly organised with highly levels of accuracy and attention to detailStrong communicator at all levels both verbal and written
