Job Description

Through ongoing investment in people and products we have created one of the industry’s premier lighting rental resources, perfectly placed to service any production type anywhere in the world.Job DescriptionThe Sales Administrator provides support to the day to day running of the rental Office they will respond to enquiries promptly, provide accurate reporting, attend meetings and complete administrative duties as required.The position reports directly to the Office Manager but also works closely with the Sales Team, Sales Director, Business Development Director, Finance Department and Operations Department.Duties Include

  • Answer telephone enquiries in a professional and helpful manner. Provide assistance to the caller, direct to relevant member of staff and ensuring the customers message is passed on promptly.
  • Handling rental enquiries, if required, from initial request, checking availability, creating quotations and raising invoices.
  • Working as part of the PMBS Shipment group. Handling internal transfers to and from other MBS branches around the globe, creating commercial invoices and arranging freight with preferred freight companies for exporting and importing.
  • Attend all in house Production Meetings.
  • Assist with checking for updates on current chases and identifying new leads.
  • Checking daily that Generators, Trucks and Desks are PO’d before release and notifying Account Managers if any need raising.
  • Liaising with repair department to ensure repair ticket prices are updated.
  • Running late returns report and chasing Accounts Managers to update return dates accordingly.
  • Running sub hire report and liaising with Sub hire Coordinator and Account Managers to check Equipment is scanned out and in accurately and returned to suppliers on time. Assisting with amending PO’s to reflect extension dates and prices and communicating with Sub hire suppliers if necessary.
  • Keeping Internal, External & Gaffer Stacking sheets up to date with information provided by Sales Team.
  • Updating & maintaining Equipment Requirements Spreadsheet.
  • Updating Job List Smartsheet with all known jobs up to 2 weeks in advance.
  • Assisting with preparing deal documents.
  • Checking Sub hire PO’s match supplier quotes, uploading both on to RTPro and getting them approved.
  • Assisting with searching for equipment from other sub hire suppliers if required and obtaining quotes.
  • Preparing loss and damage reports ready for Account Managers to present to the client.
  • Filing delivery notes.
  • Archiving job files.
  • Assist in clearing down Orders to Bill by liaising with Account Managers.
  • Provide general support to the Sales Team.
  • Completing other tasks as requested by the Office Manager and Sales Director.
  • Person Specification
  • Industry experience beneficial in Film, Television and Commercial lighting equipment rental and sales.
  • Enthusiastic and highly motivated.
  • Remain professional and work well under pressure in an unpredictable industry.
  • Strong attention to detail.
  • Ability to manage own workload efficiently and meet strict deadlines.
  • Ability to work well with others and contribute to a positive environment.
  • Excellent verbal and written communication skills are crucial.
  • A good knowledge of Microsoft Office and Excel.
  • Willingness to go above and beyond to get the job done.
