Job Description

Facilities CoordinatorEpsom, Surrey Permanent, full time.Hours: 9-17.30pm - Flexible working and Hybrid working after successful completion of 3 months’ probation.£30,000 -£35,000Our client is a specialist RICS commercial property management company overseeing an extensive portfolio of commercial real estate assets throughout the United kingdom on behalf of a wide range of professional landlords including prop cos, banks, privatecapital, asses managers international investors, local authorities, public companies and retailers.Our clients head office is based in Epsom, Surrey where the role will be based.Within this office, they have support teams including Property Management Accountants, Property Management Teams & Office Support helping manager properties alongside our Facilities Managers.Key Responsibilities:

  • Assisting in the day to day operation and maintenance of our property portfolio
  • coordinator and arrange statutory and routine maintenance, repairs, and inspections for the properties
  • Assist in the monitoring of statutory compliance to all properties
  • Liaise with contracts to obtain quotations, issue purchase orders and ensure timely completion of work.
  • Maintain accurate records of maintenance activities, costs and property inspections.
  • Work closely with Senior FMs on contractor management
  • Manage the FM helpdesk and respond in a timely manner to maintenance requests and tenant and contractor enquiries.
  • Supporting the out of hours team where necessary with emergency and after hours maintenance requests.
  • Assisting the senior FMs in undertaking property inspections to undertake meter reads, identify maintenance needs and address issues proactively.
  • Assist in ensuring compliance with our ISO accreditation
  • reporting to senior FMs and assisting them with their role.
Candidates should be able to demonstrate experiencein facilities coordination and property management. In addition, candidates should have strong IT skills including Word, Excel and Outlook.Key Skills and Qualifications:
  • Excellentorganisational and multi-taking skills
  • Strong written and communication skills
  • 2 years + experience working within Facilities Management in commercial property
  • Knowledge of building systems, HVAC and statutory compliance
  • Experience of using CAFM software packages
  • NEBOSH Certification is preferred but not essential
  • Driving licence & vehicle will be required.
