Job Description

Our client, a well-known Public Sector organisation based in Clydebank, require an Estates Administrator on a temporary basis for approximately 8 weeks. Working Monday to Friday, 37.5 hours per week. Pay rate for the position is £11.10 per hour.A Basic Disclosure certificate issued in the last 12 months will be required for this role.Main purpose of role:To deliver an effective Estates Administration service as first point of contact for staff, contractors, customers and visitors.Accountabilities/Responsibilities:

  • Receive and process telephone requests for Estates jobs and service requests
  • Deal with internal and external telephone request or enquiries
  • Operate and monitor the facilities/estates software system providing customer feedback on reported defects
  • Use the Boards email, voicemail systems and internal and external paging systems
  • Report any defects to relevant on and off site maintenance staff
  • Raise purchase orders
  • Provide monitoring information/weekly performance reports to senior management
  • Prioritise and forward emergency jobs
  • Complete staff payroll input
  • Collate daily statistical data on job logging reports
  • Maintain stationery stock levels
  • Distribute incoming mail and delivery outgoing mail to the mailroom
  • General admin tasks eg letters, memos spreadsheets etc
  • Provide reception cover if requires
Key Skills and Requirements:
  • Educated to HNC level or equivalent
  • Knowledge and experience of full range of administration tasks
  • Excellent IT skills including MS Office
  • Excellent communication and interpersonal skills
  • Ability to prioritise workload & ability to work on own initiative and as part of a team
