Job Description

Purpose of the RoleEnsure the operations of the retail arcade run seamlessly alongside the operations of Bloombergs EuropeanHeadquarters operations.The Estate Manager will be the primary lead for all matters affecting the retail tenants on the external estate areas, loading bay and BOH areas that are for the sole use of the retailers.This role will support the Bloomberg (BLP) facilities operations team in delivering a world class service to the public and retail tenants. The role will be integral in the coordination of all vendor services to the tenant spaces, and will act as a key intermediarybetween BLP, Savills and the tenants.The Estate Manager will need to execute BLP policies for Health and Safety compliance, communications and reporting to the tenants. They will be supported by a Savills lead surveyor allocated to the BLP account on all landlord and tenant matters and willneed to build and maintain exceptional retail tenant and client relationships, whilst being able to work alongside BLP facilities vendors to ensure exceptional service delivery to the tenants.Key Responsibilities• Be the point of contact for all retail tenant operational matters.• In conjunction with BLPs health and safety representative report any health and safety matters noted on inspection of the external estate areas.• Liaise with vendors through the SDSK system to achieve the above and provide feed back on vendors on a monthly basis.• Co-ordinate and manage the City of London cleaning meeting and liaise with BLP on matters arising from such meetings.• Actively engage with all retail tenants and vendors regularly for day to day inspections, door PPM’s, pest control inspections etc.• To meet with the retail tenants regularly both formally and informally and document actions and notes from any formal meetings.• Gather and report to BLP and Savills weekly and monthly anecdotal trade feedback, trade figures, where possible footfall and ESG data such as waste and recycling.• Maintain a record of and ensure retail tenant compliance in relation to Fire Risk Assessments, Fat and Grease audits, and any other statutory, insurance or best practise inspections and audits in relation to the retail tenants. Co-ordinate and facilitateretail tenant and vacant lettable areas access for Insurance risk surveys and ensure any tenant actions following such surveys are complete in order to maintain compliance with the insurers requirements• Create, maintain and update tenant handbooks, fit out guides and any other tenant operational documents.• To keep a record of EPC certificates for the retail units and monitor compliance with MEES.• Liaise with BLP security team on estate security matters.• Ensure the requisite standards for the delivery of property management services to the retail tenants are upheld in line with the clients SOW.• Act as the first point of contact for BLP in respect of all operational elements of the retail tenants, and external estate areas that Savills shall be responsible for.• Monitor operational Health and Safety compliance in the Arcade and report such compliance to BLP, Savills and the retail tenants.• Carry out weekly vacant property inspections for all lettable areas of the BLP building as well as carrying out monthly documented inspections.• At the instruction of BLP’s appointed Business rates consultant coordinate and facilitate access for rates inspections with the City of London representatives and confirm to such representatives as to the current use of such space.• In relation to works being carried out in the retail and other such areas under Savills management to attend BLP meetings and relevant project meetings as required as well as liaise between BLP and retail tenants regarding such projects.• Carry out regular inspections of the agreed loading bay and back of house areas for use by the retail tenants.• Coordinate and liaise with vendors and retail tenants in relation to associated retail services.• Be the point of contact for the retail tenants use of Curiosity for deliveries and retail badge management.• Produce a monthly report in an agreed format and host monthly meetings with BLP & Savills to discuss tenant and arcade operational matters.• To assist the Savills surveyor in chasing arrears in relation to the retail tenants and other surveying matters such as turnover rent calculations.• To gather and supply BLPs appointed utilities manager with any such utility reading as required for recharges or other monitoring solely in relation to the retail units.• In conjunction with the Savills surveyor be responsible for the licence to alter process and the monitoring andapproval of tenant non - structural alterations and fit outs to units within the Bloomberg Arcade.• Monitor and enforce retail tenant lease compliance in conjunction with the Savills surveyor.• Advise and support BLPs LPs marketing and events team in enabling marketing events to take place within the Bloomberg Arcade, through providing Health and Safety advise, event RAMS review and approval, as well as, supporting BLP in retail tenant communications.• Co-ordinate and report monthly M&E surveys.• Raise and manage purchase orders.• Manage and upload Savills fee invoices to BLPs Ap system for payment.The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated and first agreed between BLP and Savills.Skills, Knowledge and Experience
