Job Description

Personal Assistant to Master and ClerkContract: Permanent, 3 days per weekSalary: Up to £45,00 pro rata per annumLocation: Central London, EC2, Office BasedThe CompanyThe Worshipful Company of Salters’ wishes to appoint a Charites and Development Manager. This is a brilliant opportunity and exciting new role that encompasses both Trusts and Foundations fundraising for our flagship charity, The Salters’ Institute and theadministration of grants from The Salters’ Charitable Foundation.The RoleThis is an exciting time to be joining this historic City Livery Company, a Company which makes a major contribution to the social and economic development of society and the nation through educational philanthropy.You will act as the first point of contact for the Master and Clerk, dealing with correspondence and phone calls and be the Company’s primary Point of Contact for the Corporation of the City of London.Specific Duties include:

  • Process mail and invitations addressed to the Master through the Clerk, keeping track of replies and responses;
  • Answer telephone calls, enquiries and requests of the Master and Clerk as necessary;
  • Handle all emails addressed to the PA and the Clerk in their absence;
  • Check the weekly diary and pass invitations and letters held in the appropriate files for the Master (and Clerk in his/her absence) at the appropriate time;
  • Co-ordinate the Master’s diary and provide a weekly itinerary with supporting information;
  • Support the Master and Wardens with respect to their Company responsibilities during their year in office, and other members of the Court as required;
  • Organise and maintain the Master’s and Clerk’s diaries, arranging travel and accommodation as necessary;
  • Advise the Master and Clerk on correct dress and protocols for functions which the Master and Clerk attend on behalf of the Company;
  • Manage the Master’s and Clerk’s diaries, organising meetings and appointments (internal and external).
  • Prepare and distribute meeting papers on behalf of the Master and Clerk, specifically:
o Courto Management Boardo Hall Committeeo Wine Committee
  • Deal with confidential information with discretion.
  • Organise Court lunches and Court Dinner;
  • Be the Company’s primary Point of Contact for the Corporation of the City of London;
  • Remind the Master and Clerk of key tasks and deadlines; and
  • Any other miscellaneous tasks to support the Master and Clerk.

  • Proficient in Microsoft Office (365)
  • Demonstrates Company values in all aspects of work.
  • Planning & Organising: Must have the ability to manage their time effectively to achieve deadlines and meet the needs of the business. Highly organised with ability to plan execute in accordance with time schedule.
  • Team player: Participates effectively within the team through fulfilling own role and forging effective working relationships.
  • Communication: Demonstrates strong influencing and communication skills, both verbal and written.
  • The role will require some working outside of normal office hours. Flexible approach in carrying out duties.
  • Experience of working as a Personal Assistant.
  • Database entry experience.
  • Experience of writing minutes.
  • Understanding of livery companies and the City (desirable)
