Job Description

The Global CCS Institute is an international think tank whose mission is to accelerate the deployment of carbon capture and storage (CCS), a vital technology to tackle climate change and deliver climate neutrality. We are headquartered in Melbourne, Australia,with regional offices in Washington D.C., Houston, London, Brussels, Abu Dhabi, Beijing and Tokyo.Due to organisation growth, the Office Administrator opportunity is a newly created role within our Business Services team. You will have a minimum of three years commercial (hands on) experience. The position is open to candidates in London, England.About the roleOur multidisciplinary teams of strategists, economists and management consultants create positive impacts via value add, often unparalleled, understanding of all aspects of CCS to our Members and clients, including the surrounding legal and regulatory environmentsvia our advisory and legal experts.Reporting to the CFO, you will manage the day-to-day operations of our European offices, including reception, travel, diary management, general administrative support and compliance and governance responsibilities as required. A typical week will see you:

  • Provide on the ground support to the Business Services finance team, Client Engagement, Advocacy and Commercial team, including payroll and related benefits.
  • Manage end to end travel requirements and support for European based staff and visiting Institute staff, including visas, preferred suppliers, processing invoices, monitoring costs, reconciliations, ensuring processes and procedures are followed for travelapprovals, and other travel related support as required
  • Coordinate and manage the administration of relevant employee benefits including group health insurance and other benefits as required
  • Maintain and coordinate relevant files and office documentation to ensure compliance with local legislation
  • Coordinate and assist IT asset procurement, management (inventory) and deployment (with the guidance of the IT team)
  • Help and work with the IT team on IT-related projects, initiatives and tasks in the region when required
  • Support in book meetings, conferences and seminars on behalf of the staff, including Board and international staff visiting the region
About youTo be successful in this role you have a demonstrated background with the following. Essential
  • Demonstrated experience in an administration based role, including accounts payable/ receivable, account reconciliations and meeting and events planning
  • Demonstrated experience with MS Office (Word, PowerPoint, Excel, Outlook, SharePoint) and CRM tools
  • Ability to follow instructions/ guidelines and perform IT-related tasks
Desirable
  • Relevant qualification
  • Knowledge of IT systems, applications general IT support
  • Experience using MYOB or other Finance Management Systems
  • Experience in running webinars using tools such as Zoom or WebEx
