Japanese-speaking Global Mobility/Delegate CoordinatorA financial institute is looking for a Japanese-speaking Global Mobility/Delegate Administrator.You will be responsible for acting as the key liaison between the Reward & Engagement department, international employee populations, and Tokyo HR, handling various immigration-related aspects of their movements, and helping them to navigate the unfamiliarlegislative environments in which they work. You will also be responsible for the administration of local staff payroll and rewards.Business level of English and Japanese will be required for this position.TYPE: Permanent, full-timeWORKING HOURS: 9:00-17:00 from Monday to Friday (Hybrid 3 days in the office)SALARY: up to £40K, depending on experienceSTART: ASAPLOCATION: City of LondonDUTIES AND RESPONSIBILITIES:Global Mobility-Support the management of the Delegate rotation including joiners, leavers, and transfers-Support visa applications and maintenance of the sponsorship duties-Administration of obtaining or renewing permanent properties and payment of the monthly rents-Administration of the assignment letters, Hire Right, and various other documents-Support the maintenance of the policies and procedures regarding the delegate population-Support the vendor management process for immigration and relocation and benefit providers, ensuring that invoices are processed in a timely manner-Support all payroll related activities for the delegate staff-Support and administration of the benefits arrangements-Submission of the annual overseas delegates living conditions survey to Tokyo HR-Support the ordering of business cards and payment of any invoices-Ensuring Group Telephone Directory is maintained-Ensuring delegates contact list is maintained at all times-Submission of information in relation to Japan overseas educational servicesSystems & Controls-Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firms reputation and safeguardingGDPR-Control and/or process large amounts of personal data, which may include sensitive categories of personal data-Have an awareness of GDPR obligations and ensure that all tasks which control and/or process personal data are carried out in line with internal data protection policies and standardsPayroll-Processing of the monthly payroll for four companies-Processing of all HRMC reporting (Full/Employer Payment Summaries) and payments as required-Liaison with the Finance functions ensuring that the correct accruals and accounting is undertaken of local reward related matters-Administration of staff absence-Liaise closely with Human Resources and attend weekly/monthly Starter Leaver meeting-Setting up Purchase Orders and making invoice payments as required-Monitoring and administration of the Reward related queries in the Reward mailbox-Reconciliation of invoices from suppliers regarding company benefits-Month-end payroll termination process and production of P45s/final payslipsIDEAL CANDIDATE:-Previous clerical and HR experience-Some accounts/payroll experience-Have some experience of working in a multi-national environment and an awareness of Global Mobility and cultural issues across Europe and Japan-Able to work independently on key tasks whilst providing support to the team-Business level of English and Japanese will be required for this position.-PC skills (Word, PowerPoint, Excel)** All applicants must have the right to work in the UK as the Company is not able to offer visa support.If your application is successful, you will be contacted within two business days.
