Job Description

Role - IFA AdministratorSalary - Up to £40,000Location - City of LondonBlakemore Recruitment are assisting a well established Wealth Management firm who are based in the City of London recruit for a well-organised, enthusiastic, and experienced administrator to join their growing team. The role:

  • Take a leading role in the new client on-boarding process to gather clients personal and policy information in a timely manner so that client files are accurately maintained, and initial suitability advice can be provided to clients.
  • Co-ordinate with the members of the financial planning team to pick-up ad-hoc client tasks, pro-actively chase platform providers for information as and when required and help prepare all advice implementation documents.
  • Maintain and monitor data in the CRM (previous experience using Xplan would be beneficial) system to ensure provider data feeds and client performance data are accurate and, where needed, reconcile any data feed issues that arise.
  • Assisting with the accurate production of client reports and correspondence to clients, such as illustrations, key features documents, preparation of forms and the maintenance of the online client portal.
  • Help with the ongoing training, development and oversight of the financial planning administrator.
  • Dealing with telephone and postal enquiries and client communication via DocuSign and email.
  • To assist the dealing team with client implementation as and when required.
  • To help deliver and assist with ad-hoc projects for some of the central business functions and processes such as accounts and compliance.
  • Liaise with the client services team and financial planning director to oversee central business processes relating to client files, data in the CRM system, the client portal, portfolio implementation, initial client on-boarding and ongoing work flow.
  • Pro-actively look for opportunities and make suggestions to make central processes more efficient and robust when appropriate and to drive forward any agreed changes.
Requirements and Skills;
  • Minimum of 3 years’ experience with a demonstrable knowledge of the wealth planning industry.
  • A pro-active can-do’ personality and ability to bring about change in the business by confidently communicating with staff members at all levels.
  • Experience of using a database system (Xplan would be particularly valuable) to update and maintain client records.
  • Professional communication manner (written and verbal) and ability to form strong working relationships with the existing team.
  • Highly organised with an ability to work accurately to deadlines with accountability and ownership for own deliverables and task management.
  • Strong IT skills and confidence using Microsoft Office, particularly MS Word, Excel and Outlook.
  • An awareness of FCA compliance regulations, anti-money laundering obligations and data-protection regulations.
