Job Description

Company: AME Trade LtdPosition: Conference & Events CoordinatorExperience: 6 months - 2 years required in conference management /event administration or similar field, fluent French and English, written and spokenSalary: £25,000This is an opportunity to join AME Trade Ltd, one of the leading event organisers on the African continent. We organise annually more than ten conferences/exhibitions per annum, in the mining, oil and gas, and finance and infrastructure sectors. We are an established international company with a strong footprint in emerging markets.We are currently looking for a motivated Conference and Events Coordinator to join our team, to organise and implement our portfolio of events in an international contest.You will be responsible for

  • Booking and Arranging event venues as well as dealing with other suppliers
  • Negotiate and Manage with suppliers
  • Main point of contact for all clients such as delegates, exhibitors, sponsors,
  • Organising and Implement Conference and Events internationally, mainly in Africa
  • Work along side the events team to ensure that implementation of the event
  • Providing excellent Customer Service to all the attendees
  • Answer Clients queries regarding the event, visa, travel plans
  • Usage of the software for delegates and exhibitors management
  • Team and office support
  • Travel arrangements for the team
  • Assisting the Project Managers in the administration of the event
  • Managing onsite registration
  • Sourcing branded items, lanyards, sponsored items etc
  • Key Competencies Required:
  • Outstanding customer service skills
  • Flexibility to react to business needs e.g. travel at short notice
  • A can do’ attitude
  • Proven experience /sole management of 150 + attendee conferences/events
  • Ability to multi-task under pressure whilst maintaining accuracy
  • Carries themselves with professionalism with internal staff, external contacts and clients
  • Proven experience of managing projects to deadline and to a budget
  • Comfortable in dealing with multiple and multicultural team
  • Well organised and able to prioritise tasks
  • Excellent Administrative skills
  • Experience of negotiations with event suppliers
  • Ability to MultiTask and Remain calm under pressure
  • Self-motivated and driven to succeed, able to work with minimal assistance or supervision
  • Ability to communicate, convince and persuade
  • Fluent written and spoken English and preferably another language i.e French
  • Proven ability to interact with senior decision-makers
  • A person with initiative
  • Ability to anticipate obstacles and find effective solutions
  • Must be available to travel and open to working in developing countries
  • Ability to quickly recognize the issues and respond appropriately
  • Educated to at least graduate level
  • Experience of Microsoft Products, Word, Excel
  • Working practice of event management tools i.e event software management like Cvent
  • Good Spoken and Written Communication in both English and French
