Here atTavistock Relationships, we have a new and exciting opportunity available for aClient Services Coordinator to join our team on a full-time, permanent basis.This role is on site, acorss two of our premises in Central London near Liverpool Street. About theClient Services Coordinator roleAs a Client Services Coordinator, you willoversee the day-to-day relations with our clients, trainees, therapists and staff.Key responsibilities as a Client Services Coordinator:
  • Providing general assistance to TR stakeholders including clients, trainees, therapists and staff, both in person, on email, or by telephone
  • Proactively engaging with building users to ensure they are welcomed onto TR premises and supporting them during their visit
  • Maintaining accurate customer records (Salesforce and SharePoint) on delivery activity, invoicing and customer interactions
  • Being responsible for the timely opening of premises and securing the building before closing in the evenings in line with reception team staff rota
  • Ensuring TR premises are kept tidy and are maintained to meet the needs of building users
  • Helping with setting up of meeting/training rooms across TR delivery sites, including the AV equipment. Reporting problems to the training team
  • Supporting operations teams (clinical and training) with the performance of routine tasks as required
  • Reporting all incidents and near misses to the Office Services Manager, (or the designated staff member in their absence) in line with TR’s Health and Safety Policies
  • Collating and analysing feedback and user data to identify trends and support the development of services in line with user needs
  • Maintaining a social media profile and presence that is aligned to the TR profile as a credible and professional organisation
  • Proactively participatingin organisational internal communication activity
  • Manage all personal data and information in accordance with the provisions of the TR Data Protection handbook
Skills and experience required as ourClient Services Coordinator:
  • Excellent interpersonal skills and empathy
  • Must like people and work well with others
  • Willingness and ability to learn other software packages as may be required
  • High level of organisational skills with the ability to manage competing priorities
  • Self-motivation, dependability with the ability to work well under pressure
  • Excellent telephone skills and the ability to represent Tavistock Relationships as a professional and caring organisation
  • Ability to maintain confidentiality of sensitive information (e.g. client, trainee, staff)
  • Experience in using and supporting users of a range of digital platforms such as MS Office, especially SharePoint, Word, Excel, MS Teams and Outlook, Salesforce, Moodle and Form Assembly(desirable)
