Job Description

Purpose of the RoleIn partnership with the One Southampton Row management team, lead and execute Savills policy and procedures to provide an innovative, operationally efficient, safe and economically competitive commercial environment for occupiers and building users whilstenhancing the investment value of the asset for the landlord.Focus and motivate the onsite team to deliver the best experience in one of the premium UK office developments, in line with Savills 5 Es (Expect, Evolve, Engage, Experience and Environment) and RISE methodology.Key ResponsibilitiesManagement and Leadership

  • Provide on-site presence and leadership for One Southampton Row.
  • Establish effective site teams by successfully recruiting high calibre people, inducting, motivating and developing staff to their full potential, completing annual appraisals and 6 monthly review and identify training needs for direct reports.
  • Take ownership and responsibility for delivering operations identified in the PMA (Property Management Agreement) and/or any other client agreed initiatives or projects.
  • Act as custodian and ensure that all aspects of the relevant Savills manuals and guides including Operations, Fire Log book, access equipment, Health and Safety and occupier hands books and fit our guides are complied with and kept up to date and in goodorder at all times.
  • Ensure all Savills operational systems including SEM’s and Data Station are compliant and the necessary tasks completed within the specified frequency.
  • Ensure risks identified in the independent fire and general risk assessment are addressed within the given timeline and in line with Savills audit process.
  • Establish a regular inspection program for all areas of One Southampton Row in accordance with site insurance and regulatory requirements.
  • Leading service partner contract tenders, partnering with consultants and mobilising new contracts.
  • Ensure Health & Safety, emergency procedures and safe working practices are established, maintained, and conform to current legislation, ensuring all building users are provided with a safe environment.
  • Be familiar with IT systems, electronic security, heating, ventilating, mechanical and electrical equipment have an understanding of the purpose and general working of such equipment.
  • Ensure maintenance contracts are in place and suitable to cover O&M manual requirements.
  • Assist building surveyors/architects/consultants on major works.
  • Identify and arrange minor planned works with all service partners and sub-contractors.
  • Issue and approve permits to work for contractor activities on site.
Service Partner Management
  • Encourage cultural alignment and partnership with the service partners to adhere to both One Southampton Row and Savills philosophy and core values
  • Lead and drive service delivery of all core service partner contracts, including M&E, Security and Cleaning, ensuring standards are in line with their KPI’s and SLA’s.
  • Ensure reactive maintenance and day-to-day service requirements are undertaken by the relevant service partner in a timely and cost-effective manner.
Communication
  • Ensure effective communication with occupiers on all matters including building operational matters, ESG and financial consultations.
  • Host quarterly joint occupier meetings; presenting quarterly building reports and environmental working groups output (EWG)
  • Ensure management surveyors are informed on matters relating to standards of facilities management, highlighting areas for concern or improvement. Particular areas to be covered include sustainability updates and occupier satisfaction
  • Promote One Southampton Row and share best practice within the Deka portfolio and within the wider Savills business.
Best Practice and Added Value
  • In partnership with Savills placemaking team, create an annual enlivenment and community programme with occupier and building user consultation using the occupier management platform and occupier questionnaires.
  • Working within the RISE methodology, adopt Savills core principles of service delivery aligning with the Property (5Es).
  • Champion Corporate Social Responsibility (CSR) initiatives including community partnership to ensure an integrated way of working by driving this ethos through the One Southampton Row team.
  • Working with the wider Savills network and property industry, seek best practice initiatives for consultation and implementation.
Relationships
  • Develop close working relationships with occupier representatives and manage occupier satisfaction to the highest level.
  • Develop good relations and partnerships with various authorities and local agencies , notably:-
  • Local authority
  • Police
  • Fire brigade
  • Public transport providers
Financial
  • To support the delivery of financial management through the preparation of service charge budgets, the monitoring of agreed budgets, quarterly reporting, and service charge reconciliation, using Savills accounting systems.
ESG
  • Ensure the procurement of all supplies and services at the property is undertaken in accordance with Savills sustainability policies and Green Charter
  • Working with Savills central teams, deliver ESG goals in line with the above policies.

  • Excellent communication skill with the ability to communicate at all levels
  • Contractor/service partner management, including management through KPI’s and SLA’s.
  • Service charge management.
  • Contract tender experience.
  • Mobilisation of services contracts.
  • Ability to write up clear and concise business cases in procurement exercises.
  • Knowledge of Office 365 and systems (Excel, Word, SharePoint etc.).
  • Use of ProActis.
  • Able to work on own initiative
