Job Description

Purpose of the RoleThe main purpose of the job is to assist the Commercial Estate’s Lead FM in all aspects of the day to day running and maintenance of the property or properties under the job holders control, including working with service partner teams, occupiers and otherstakeholders and ensuring the required standards are achieved and maintained at all times. The role will include some management of soft services, as well as assisting with enlivenment and placeshaping, ESG and social value activities for Chimney Walk andDanes Yard commercial buildings.The role may also require support of the wider Sugar House Island Estate, as and when required in line with the Savills property management mandate.’Key Responsibilities

  • Assist the Property Manager to ensure that Datastation, SEM’s and other relevant systems are up to date and complete at all times.
  • Assist in the processing of purchase and invoices, ensuring that they are coded correctly for processing via Proactis.
  • Assist in the administration of the site property management tools system and associated building app, including content creation.
  • Assist with the management and coordination of communication with occupiers, enlivenment activities and placemaking.
  • Ensure that high site standards are achieved and maintained at all times.
  • Assist with the co-ordination of the full range of service charge recoverable services, ensuring compliance with specified standards, quality, time scale and cost objectives.
  • Production and co-ordination of information in line with Savills and client requirements.
  • Create and maintain an effective working relationship with existing suppliers/contractors.
  • Establish and implement best practice whilst ensuring safe working practices are complied with at all times.
  • Ensure appropriate, clear communication lines are established and maintained.
  • Carry out any other reasonable request of the property management team.
  • Support the wider building management team, surveying team and finance team with any additional tasks to ensure the successful delivery of the Sugar House Island scheme as required.
Safety & Security
  • Assist in ensuring compliance with all client and Savills procedures and policies, including health and safety, COSHH and environmental matters.
  • Assist in ensuring compliance with all statutory requirements and codes of practice, health and safety requirements.
Promotions/ Public Relations
  • Assist in ensuring that all promotional activities are carried out with due care and attention to the health safety and welfare of staff, occupiers and visitors.
  • Establish and develop close working relationships with tenant representatives and manage tenant satisfaction, and confidence in Savills service delivery.
Quality Assurance
  • Adhere to all quality assurance requirements.
  • Ensure compliance at all times with operational standards.
Skills, Knowledge and Experience Candidates will be required to demonstrate the following:Essential
  • Self-motivated, able to work on own initiative.
  • Excellent inter-personal skills and a strong commitment to customer service are vital.
  • Some experience in the management of multi let commercial property.
  • Experience in the supervision of contractors and coordinating reactive tasks on site.
  • Good understanding of property management.
  • Effective people management skills.
  • Excellent communications skills and ability to deal with tenant issues on a day today basis.
  • A good knowledge and understanding of legislative health & safety requirements.
  • Good time management skills able to respond to deadlines.
Desirable
  • Ability to use full range of Microsoft applications inc. Word, Excel, Outlook.
  • Good written communication skills and some interest in and knowledge of creating content such as short newsletter and app style articles.
  • IOSH / NEBOSH qualifications are an advantage but not essential.
