Job Description

Job PurposePosition OverviewWe are looking for a full-time Administrative Assistant based in Lyneham, Wiltshire. The Administrator will provide high quality, professional secretarial and administrative support to the head of technical training college The role also embraces some support requirements the wider DCTT HQ staff and liaising with all the DCTT Schools as necessary.ResponsibilitiesTasks include, but are not limited, to:

  • Arrange meetings and other related HQ DCTT functions ensuring that all relevant attendee personnel are provided with the necessary information and documentation.
  • Liaise with the relevant authorities on the arrangements and confirmation for booking HQ DCTT Staff Travel, Subsistence and accommodation.
  • Co-ordinate and assist in the formal / informal visits and support lead officers in producing the visit programme.
  • Take and produce minutes of meetings as required.
  • Typing/word processing tasks, including drafting of basic routine correspondence as directed by HQ DCTT key personnel.
  • The regular control and maintenance of the department’s stationery, including liaison with the media services and stores departments.
  • Secondary Duties include, but are not limited to:
  • Provide administrative cover for the duties of the Senior Administrator/PA to Comdt DCTT, during periods of leave/absence.
  • In the absence of the Senior Administrator/PA to Comdt DCTT, to act as the focal liaison point for the update of the HQDCTT website.
  • Knowledge Skills & Experience:
  • High degree of confidentiality and discretion.
  • Good track record of delivering high quality personal assistance and administration support to senior management level and ability to work unsupervised using own initiative.
  • Excellent organisational skills and the ability to prioritise workload.
  • Strong interpersonal verbal and written communication skills.
  • Full working knowledge of MS Office applications (ECDL qualification desirable).
  • Innovative, with a flexible approach to accommodate changing responsibilities and priorities.
  • Able to work an accommodating routine to adapt to requirements.
  • Good customer facing skills and the ability to develop close working relationships with the highest degree of integrity.
  • Previous military service environment expertise, awareness of UK military ethos/culture, is desirable but not a requirement.
  • PersonThe successful candidate will be a confident communicator, professional with good judgement and a high degree of initiative. Pro-active and persuasive when required and responsive to changing needs of the business with excellent attention to detail.
