We are looking for a Admin officer to join the facilities team as a minute taker, based in the Calow area of Chesterfield. JOB PURPOSE To provide a range of clerical and administrative support services to the Director of Facilities Services and/or other senior members of Facilities Services. You are expected to have advanced skills commensurate with your responsibilities. Working substantially independently, providing support of the highest quality, and taking leadership in your professional areaAdministrative Duties:1. To provide specialist clerical and administrative services to senior facilities services staff. This will include dictation, note taking and typing where there is a need for advanced skills.2. To organise meetings and events, producing meeting action notes, minutes and agendas, as necessary. 3. To effectively manage diaries as appropriate for the facilities services senior team, ensuring that senior staff are supported in achieving their requirements in respect of meeting arrangements and associated administrative processes.4. To work as necessary with senior staff from other Divisions, Trusts, supplier organisations, etc., ensuring that unexpected/unusual circumstances are appropriately managed in relation to meeting changes and short notice arrangements.5. To be responsible for ensuring a consistent approach is adopted in respect of all paperwork relating to higher level meetings e.g. Project Board level. 6. To be responsible for the standardisation of all meeting action notes, agendas and minutes undertaken across Facilities services on behalf of the Director and/or the Senior Management Team.7. Balance workload ensuring all local requirements are resourced and targets are met.8. Produce accurate word processed documents from hand written or digitally dictated material, ensuring that they meet with the directorates requirements.9. Implement and maintain records and filing systems for the service to ensure easy access and retrieval.10. Required to work independently, using own initiative, prioritise workload.11.
