Job Description

Job Purpose

  • Supervision to the post and logistics service across The BBC Wales contract.
  • To establish a new Post room facility at BBC Roath lock (Cardiff bay) serving a number of BBC Building across BBC Wales , including the new BBC HQ building in Cardiff city centre , the role is expected to be flexible working between Cardiff Bay and Cardiff city centre.
  • To provide and deliver an exceptional level of service on a daily basis to our prestigious clientele.. This role is one of two supervisors positions covering a shift period between the following times 09.00-18.00 Monday to Friday, and at other times as required.You will ensure that the Logistics team deliver a 5 star quality service for all elements of the Logistics Service. This comprises of four main activities Mail, Porterage, Courier Service and Waste Management.You will be passionate about customer service and strive to continually provide a quality service over and above the clients’ expectations. A keen eye for detail is essential and communicating effectively at all levels, in order to motivate and manage the team as well as demonstrating excellent client management.
  • Responsibilities
  • Assist in ensuring the logistics services meets or exceeds the Service Level Agreements and Key Performance Indicators required by the BBC.
  • Manage Work orders in and efficient and timely manner.
  • Provide a professional service by ensuring all Logistics services are available to BBC staff during the required service hours;
  • Compliance with all relevant Health and Safety procedures, ensuring the requirements of Health and Safety at Work and Environmental legislation are met at all times;
  • To promptly progress requests for logistics services required by end users.
  • To maintain the general tidiness, cleanliness and safety of both Internal and External logistic work areas;
  • Adhere to uniform and presentation standards as per the dress policy;
  • Ensure that customer expectations are met in all buildings whilst embracing the One Team Approach;
  • Faults are reported through the FM Helpdesk service.
  • To assist in selecting, recruiting and vetting all employees according to Company policy and procedure and taking full responsibility for induction and going training and development.
  • To prepare and complete information for monthly reports within agree time scales.
  • To ensure that appropriate stock levels of all materials and equipment are available at all times and within agreed budgets.
  • Provision of Lift and Shift services to meet the needs of the BBC and their service partners.
  • Undertaking office moves of less than 6 people
  • Dealing with classified waste. Confidential, Media, General and Dry Mixed Recycling (DMR)
  • Event set ups; Moving furniture.
  • Movement of barriers for events and for security.
  • To maintain the general tidiness, cleanliness and safety of work areas utilised by the logistics personnel;
  • Provide a service to ensure all assets and materials directly allocated to staff are properly dismantled, packed and transported and re-installed at the new location.
  • Ensure company vehicle is used correctly. All services are carried and check list completed of daily use.
  • Deliver photocopying paper and stationery
  • Collection and distribution of internal and external mail and packages, secure mail, special and recorded deliveries etc.
  • Ensure mail is delivered and collected to specified times and agreed mail drops
  • Check all mail to be sent 2nd class and unless 1st class is specified.
  • Ensure that outgoing external mail collected and up to and including last collection of the day so that it enters the national mail network on the same day.
  • Ensure internal mail is collected and sent by required times
  • Provide reports on all postal distribution and dispatch services including mail volumes
  • Keep records of all expenditure
  • Arrange PO Boxes, Business Reply Services and Free Post Services
  • Ensure all mail is screened at Roath lock before being shipped to other BBC Sites.
  • Receive, log and distribute internal packages. Ensure they reach the recipient and are signed for. All tracking to be completed
  • Manage the dispatch of outgoing courier packages.
  • All packages to be x-rayed. All staff to have appropriate training.

  • Substantial quantifiable and demonstrable experience in a similar role.
  • Proactive management and experience of large internal service delivery teams within a major UK FM provider.
  • Proven analytical and problem solving skills. Ability to use initiative, judgement and take decisions.
  • Previous team management experience
  • Ability to act calmly and give clear instructions in an emergency.
  • Have manual handling skills
  • Able to have skills and knowledge to use a PC with different software applications. To have an understanding of Maximo.
  • Driving experience. Full driving licence to be held
