Job Description

Our client is at the forefront of innovative cancer care with their UK network of cancer centres. They provide the most suitable, state-of-the-art cancer treatment and an exceptional level of care to every patient. The centres deliver high-qualitydiagnostic imaging and the latest in advanced cancer treatments including radiotherapy, chemotherapy, immunotherapy and, in the future, proton beam therapy across all centres.Job PurposeThe Physics Support Officer is a key member of the Physics & Dosimetry Team, supporting the Head and Deputy Head of Physics and the wider Physics & Dosimetry team with coordination, administration, and aspects of project management. They will undertake arange of duties where specialist scientific knowledge is not required and will co-ordinate and liaise, on behalf of the physics team, with any other teams as required.Main duties and responsibilities

  • Co-ordinate preventive maintenance and service dates across the network for the treatment, imaging and ancillary equipment and instruments used in Radiotherapy; this involves liaising between the equipment manufacturers or their UK representatives (e.g.Elekta, Philips, OIS, OSL, etc) and the Clinical & Bookings Teams.
  • Co-ordinate and manage physics equipment orders including: obtaining initial quotes, completing documentation, and liaison with the procurement team; scheduling deliveries, checking them upon arrival, updating the asset register, liaising with Finance overpayment of invoices; following up any issues at time of delivery, and subsequently, and ensuring maintenance contracts (or appropriate arrangements) are in place when the warranty period expires.
  • Arranging and facilitating (for all centres) regular physics tasks involving liaison with external suppliers and transportation of equipment including: annual calibration of thermometers, barometers, contamination monitors, survey meters; servicing or repairof QA equipment; co-ordinating two-yearly calibration of secondary standards; transportation of equipment between RCC sites (eg water-tank, secondary standards); keeping track and updating equipment inventory as appropriate.
  • Monitoring the Physics QA Schedule in areas pertinent to Service and reporting any anomalies to the Deputy Head of Physics.
  • Arranging Physics & Dosimetry team meetings & workshops and taking meeting minutes. Monitoring and coordinating diaries and meetings for the Head & Deputy Head of Physics.
  • Logging and following up IT issues to ensure speedy resolution of issues affecting the physics team.
  • Co-ordinate with the estates regarding all on-going projects including: monitoring all projects and ensuring information is provided on time (in both directions) and outstanding items are followed up and dealt with efficiently; arranging meetings or callsand recording and following up on all decisions made (on behalf of the physics team); attending sites to check details as required before, during and following construction and installation.
  • Monitor project timelines and manage those aspects affecting the physics team and liaising with estates team.
  • flexible working, including:
- travelling to attend meetings and to work in any of the centres, and- working some of the contractual hours outside of 9am-5pm or at weekends as necessary to fulfill the role,Place of WorkYou will normally Work from Home, however, you will be required to travel in the course of your duties to attend meetings and other appointments and to carry out tasks at the various centres.Person Specification - Essential RequirementsExperience and Knowledge
  • Administrative experience.
Competencies & Skills
  • Competent user of Microsoft Office software including Outlook, Word, Excel, Power-Point, and communication tools including MS Teams, GoToMeeting etc.

  • Minuting skills (shorthand not required).
