Job Description

To provide operational administration and technical support utilising specialist HR Systems knowledge to support the HR People Systems Manager in the day-to-day operation, maintenance and integrity of the HR/Payroll systems (AMS, iTrent, Kronos, RPMI) itsfunctionalities and interfaces in particular data quality and the HR/Payroll Project.Client DetailsAn exciting and forward-thinking Government department based in Cardiff, offering hybrid working.DescriptionThe key responsibilities of the HR Systems Analyst:To assist the HR People Systems Manager in the ongoing development, preparation, and implementation of the overall iTrent HR/Payroll project deliverables, working autonomously on various key workstreams.* Maintenance of HR systems testing, amending, and updating as required. Maintaining data quality, supporting user requests for reports, assisting users wherever possible and escalation of queries for resolution as needed to MHR assist.To assist the HR People Systems Manager in providing governance around the quality and content of the data held within the HR Systems, providing advice and guidance on work structures, hierarchies and policies/processes.* To provide accurate documentation, reports and audits where necessary to ensure the accuracy of data is maintained within the systems for accurate business and adhoc reporting.* Maintenance and updating of Organisation Charts and distribute periodically with colleague changes to ensure accuracy of data and HR systems correlate with the Organisation Charts.* Preparation and analysis of complex HR metric/statistical data and dashboards to support the reporting requirements of Human Resources. In conjunction with the HR/Payroll investigate, develop and implement work practices and procedures that further enhancethe efficiency of the HR/Payroll function and MSS and ESS.* To work autonomously in order to resolve day to day system issues and provide advice and guidance to end users. * To develop training programmes and manuals for colleagues and end users to ensure data quality standards and increased systems knowledge forgood governance of the HR/Payroll Systems.* Provide training and assistance to team members and the wider business on complex data and systems and systems issues which may arise from the HR/Payroll Systems.* To take an active role in Project and business meetings and take a lead role on key projects work stream deliverables to deliver work streams on time and to budget.* To communicate complex system information and system developments to the HR Team and wider business and project teams.* To implement and maintain systems/processes as required and implement quarterly and annual audits to ensure compliance and data accuracy. Produce audit written reports of the findings identifying areas for improvement or non-compliance.* Provide advice and support to colleagues and staff regarding HR System issues helping to resolve both straight forward and complex queries within the service level agreements (SLAs).* Monitor, interpret and communicate complex national guidance, considering options for implementation and deciding upon the most appropriate course of action.* Maximise the utilisation of HR systems to automate standard processes, assist with reviewing and documenting processes undertaken within HR and making recommendations for their development* Ensure timely release of information relating to systems upgrades and changes to processes and ensure these are communicated in advance to the HR team and wider business to reduce the impact and address and mitigate any risks.* Assist with the management of HR People systems, as required, in terms of (but not limited to): documenting the configuration of the systems, maintaining data fields, functionality of data processing and process flows, add, remove, or update user accountinformation and resetting passwords, update system values and tablesProfileThe successful HR Systems Analyst will be:* Strong analytical skills, a practical understanding of data held within HR systems and experience of integrating, validating, and manipulating complex data sets from a variety of sources to provide consolidated and meaningful management information andbusiness intelligence* Experienced in creating adhoc/business reports, producing dashboards/graphs with analytical information* Ability to organise, prioritise and manage own workload to tight deadlines, adjusting as necessary for changing priorities, variable workload and interruptions.* Must understand the importance of confidentiality and discretion in handling employee information* Attention to detail, taking into consideration wider business context, with a high degree of accuracy are essential* Certificate in Information Technology/Human Resources or equivalent* Strong IT Skills, including experience of working with Microsoft Office products, particularly Microsoft Word, Excel, Power BI, Business Objects* Good organisational skills with the ability to work flexibly and prioritise successfully under pressure* Excellent interpersonal and communication skills, both written and verbal, to build successful working relationships across organisational boundaries* Strong stakeholder management skills including identifying stakeholder needs and providing relevant specialist service* Understanding of Human Resources/Payroll practices and procedures* Experience in maintaining a HRIS system* Attention to detail, accuracy and numeracy skills* Experience in Data analysis and reporting skills* Proficiency in information technology systemsJob OfferThe successful applicant who becomes the next Cardiff based HR Systems Analyst can expect:
