Job Description

Maintenance Manager Meyer Scott Ref: VR/08728Salary; £42,500 p.a.Location: SwaveseyPermanent - Office Based Reporting to the Executive Director. You will be responsible for the Maintenance Co-ordinator, Property Maintenance Engineers, Painters, Decorators & Gardeners.Whilst maintaining the required standards and adhering to legal legislation you will be expected to provide a safe, efficient, and cost-effective maintenance service for a large Cambridgeshire based property portfolio.Key Objectives of Job:

  • To manage the Maintenance Department and all staff within it.
  • To report to the Executive Director, and the board, on performance of the Maintenance Department.
  • To continually review processes and procedures to look for improvement and drive change.
  • Manage the health and safety for the Maintenance Department, ensuring compliance with all company Health and Safety policies and all legal requirements.
  • To ensure the department maintains a professional and customer orientated relationship with staff, tenants, and members of the public.
  • Be a member of the company Health and Safety Group, ensuring the safety of maintenance staff, properties, and the general public.
  • To be a member of the Management Group.
Main Duties & Responsibilities:
  • Ensuring Staffing levels are maintained so that there is adequate cover for the department, at all times.
  • Oversee the scheduling and completion of all maintenance job tickets, to ensure they are completed in a safe, timely and efficient manner.
  • Recruitment, retention and development of all department staff
  • Recruitment and retention of all Contractors used by the department.
  • Authorise the replacement and purchase of all tools and equipment used by the department.
  • Conduct regular site visits to monitor and ensure optimal team and contractor performance, ensuring safe, timely and efficient work.
  • Provide support for other departments, as required.
  • Ensure all statutory maintenance and testing is carried out to the relevant standards and properly recorded (Gas Safe, EICRs, fire equipment etc)
  • Compiling and managing the maintenance Budgets, recording, and reporting progress, regularly to the Executive Director.
  • Carry out regular 121s with team members.
  • Chair department meetings, providing agendas and act on all reported issues.
  • Maintain stock levels held, recording all stock movement, passing the required details to the Finance Department as required.
  • Keep a record of all materials and equipment used by the team, carrying out stock checks and reporting to the Finance Department as required.
  • Check for accuracy and sign off all material, tools, and contractor invoices for the department.
  • Plan and organise all required maintenance for student properties in the August and September changeover period.
  • Check for accuracy and sign off the teams weekly timesheets, monthly property logs, monthly vehicle check sheets, monthly vehicle mileage sheets, credit card statements and job tickets.
  • Arrange and maintain suited key systems for existing and new properties.
  • Prepare and maintain all documents and spreadsheets for the department.
  • Oversee and regularly update the recharge sheet used for pricing of rechargeable work carried out.
  • Oversight of third party out of hours emergency service (including to be contactable on ad-hoc occasions out of hours for necessary approvals)
  • Oversight of the department lone working arrangements (including to be contactable for the lone working arrangements in the event of emergency or missed check-in etc)

  • To attend relevant courses, in order to maintain a high level of training.
