Job Description

NHS ReceptionistLocation:CambridgeJob Type: TemporaryDuration of booking: This is a temporary ongoing with no end date specifiedProposed start date: ASAPSector: HealthcareBase: OfficeRemote working option: NoBand: 2Pay Rates: £10.69 paye inclusive of holiday or £11.00 umbrella per hourWorking Days and Hours: Monday to Friday These can be full or part-time positions, hours can vary. The clinic reception areas are open from 9am until 5.00pm.Job SummaryTo provide an efficient reception service and act as a focus of contact for patients. To assist with the co-ordination of booking appointments and work as part of the Clinic 6 team.Keydutiesandresponsibilities:

  • To welcome children and their families on arrival at the clinic, and check and update patient details as required and in line with Medical Records Policy and Trust Guidelines
  • To deal with telephone enquiries to the clinic
  • To ensure maintenance of good relationships, communication and team work with all disciplines within the department and other areas of the hospital and to support Team Leader to ensure the smooth operation of the clinic
  • To assist with administration tasks such as the preparation of notes and filing of correspondence/results/reports
  • To accurately register new patients as required, in line with Trust guidelines, as required
  • To effectively manage or assist in the management of patient waiting lists in line with Trust guidelines, as required
  • To ensure information on EPIC is accurate and up to date, entering and/or extracting information and booking appointments as necessary and in line with local and national targets
  • To cancel and amend appointments as required, in accordance with current policies and standing instructions, ensuring that all parties affected are informed and further arrangements are made
  • To accurately record patient attendances/non-attendances at clinic appointments in accordance with current policies and procedures and standing instructions
  • To ensure all electronic data entry is correct, timely and in line with local and national requirements and targets
  • To locate, track and maintain patient notes and x-rays as required
  • To ensure both electronic and paper records are updated on a timely basis
  • To ensure that all documentation, including pathological/radiological reports, is filed in patient case notes in a timely fashion and in accordance with the Medical Records Policy
  • To ensure case notes and results are filed before transfer of notes to other areas of the department or hospital
  • To organise patient transport as required in line with hospital guidelines
  • To resolve problems relating to patient records and missing case notes by taking appropriate action according to Trust policy
  • To report faults or difficulties with the computer systems to the designated contact point and Childrens Services managers where appropriate
  • To assist in the maintenance of stock levels of clinic/unit stationery and re order as appropriate
  • To support induction for new members of administrative staff
  • Any other clerical reception duties required to ensure the smooth running of the unit
