Superb Opportunity to work in one of Cambridges LocationsYou will act as first point of call for visitors to my Clients Tourist Attraction , and act as a hub for all telephone calls and emails arriving through their dedicated Enquiry Point, replying to general enquiries and forwarding to other staff forreply, as appropriate.You will be responsible for the distribution of mail and receipt of deliveries, and other Visitor Services team support/administrator. You will also provide additional administration support for all areas of the Department, including Administration and Financeteams.Purpose of the roleTo provide a reception and clerical service for the Department in order to provide a welcoming and efficient service to visitors and staff and to run My Clients Enquiry Point, as a member of the Visitor Services team.Key responsibilities Provide a reception service for the Department. Welcome and receive visitors, answer telephone calls and e-mails through the Enquiry Point on a wide range of topics, from a variety of internal and external sources, and forward to the appropriate memberof staff or respond as necessary. Sort and distribute incoming post and deliveries, liaise with courier services when receiving and sending packages.Carry out administrative/clerical duties using Word and Excel. Assist with large mailings, filing and generaladministration duties as required. Data input and reporting, eg visitor figures, membership information, tour evaluation data, logging charitable requests and issue of Admission cards.Basic administration of finance matters, calculating and inputting tradingdata, analysing, calculating and categorising card payments using Merac and some cash handlingSupport Visitor Services team duties and communications, take bookings for electric buggies/wheelchairs and complete related booking forms. Process and maintain register of lost property. Occasional requirement to cover ticket office duties, including sellingadmission tickets, checking Friends admissions, issuing maps and trails to visitors and use of EPOS system.Monitor access into the building and report any incidents related to breach of securityUpdate the Botanic Gardens website as needed, includingadding new job vacancies, emergency closures and event information. Catalogue and maintain images library for website and social media and general use. Assist the Press and Marketing Team with updating social media postings.You will be Educated to GCSE level or equivalent and able to community clearly and confidently with others and with good spoken and written English. Demonstrate basic factual knowledge of reception work Knowledge of Microsoft Office packages and websites.Have Experience Dealing with the public either in a reception/enquiry point or other customer facing role. Cash handling and handling confidential information. Ability to prioritise own workload Ability to deal with difficult or pressured situations.
