Job Description

We are Cambridge University Press & Assessment, a world-leading academic publisher and assessment organisation, and a proud part of the University of Cambridge.This exciting opportunity is the chance to support one of our newest teams, International Property & Services (IPS), as their new Property & Services Administrator on a 12-month fixed term basis. The team is responsible for delivering a first-class facilitiesmanagement service across our locations outside of the UK whilst also being responsible for corporate real estate, property safety and compliance, and property environment across the whole global portfolio.The RoleAs the Property & Services Administrator you provide essential administrative support to the IPS team to help meet their mission objectives. As we embark on delivering on our environmental strategy and optimising our global real estate portfolio, as wellas meeting the changing needs of our colleagues as a result from Covid, there is an exciting array of opportunities to bring your administration and management support skills in to play. This includes:

  • Compliance & Risk Administration. Gather and record compliance and risk data from our global office portfolio, building relationships and working with responsible office contacts and landlord/managing agents in each location. Become familiarwith and use our safety, risk and compliance management systems.
  • Support compliance, risk and property health, safety & environment audits, arranging audit visits (actual and virtual) and producing post-audit reports. Follow up on audit actions to ensure completion.
  • Business Continuity & Emergency Response. Act as the Business Continuity (BC) champion for the IPS team. Help maintain team BC plans and assist office contacts around the portfolio develop their site BC and emergency response plans, assistingwith exercises as required.
  • Reporting & Documentation. Produce periodic reports for IPS senior management and help with drafting, maintaining and controlling policies, procedures and other documentation.
  • Procurement & Finance. Assist with raising purchase orders, dealing with new vendor set up, budget reports and invoice processing, and maintaining a database of procurement contracts.
  • Lease Administration. Assist with the administration of property leases and similar legal documents, including updating the lease repository and property database and updating the global property register on the intranet.
  • General Administration. Oversee and maintain in a compliant and efficient manner the IPS SharePoint site ensuring that a robust team folder and sub-folder structure is maintained and that documents are filed logically and appropriately.Help provide maintain and keep current a user friendly and intuitive IPS intranet page. Assist with communications to key internal and external stakeholders and manage the diary and other administrative needs of IPS senior management including meeting agendasand minute taking.

You will understand the need to prioritise and help the management teammake the best of their time in support of our customers.You will be proficient in MS applications, especially Word, Excel and PowerPoint, and ideally have experience of drafting senior management reports. You will also be adept at creating and editing Sharepoint/Connect pages to provide a visually exciting, userfriendly and intuitive pages presenting up-to-date IPS information for our International colleagues (or at least keen to learn).Attention to detail is key and you will have the ability to juggle diary commitments and requests and handle multiple data inputs.
