Job Description

Job Title: Principals Personal AssistantLocation: CambridgeHours: Monday to Friday37.5 hoursSalary: £24,000 - £30,800 (DOE)Reporting to: PrincipalAre you an experienced Personal Assistant/Secretary or Operations Manager I have an amazing opportunity for you to join an outstanding college based in Cambridge on a permanent basis!Your New CompanyOur client is committed to providing excellent education where all students are able to progress, achieve and go on to succeed in life. They provide high quality teaching and learning alongside opportunities and experiences, maintain an environment builton the highest standards so that every individual can develop and bring out the best in everyone.Your New RoleYou will be providing a comprehensive, executive support that covers the needs of the Principal and Senior Leadership Team (SLT). You will have the skills set needed to represent the college, support the college in delivering its operational objectivesthrough leading the business support functions within the college and have line management of the Business Support staff.Key responsibilities as a Principals Personal Assistant

  • Manage the administrative needs of the Principal
  • Organise meetings, take minutes and distribute agendas for meetings
  • Attend meetings outside normal working hours if required with appropriate notice provided
  • Attend training sessions and meetings as required by the Principal
  • Organise catering requirements and travel arrangements for any meetings/events organised/requested by the Principal
  • Type up all correspondence as requested by the Principal in line with the colleges presentation expectations and prepare letters for signingto then ensure correspondence is sent/shared in a timely and professional manner.
  • Monitor and manage incoming email, post, correspondence on behalf of the Principal when appropriate
  • Liaise with professional bodies, outside agencies, other colleges and organisations, attend to queries on behalf of the Principal as required
  • Maintain and review all school policies, advising the Principal when they are due for review and / or are to be updated including changes in legislation / guidance
  • Organise and co-ordinate planned absence cover for all school staff
  • Manage the colleges social media presence and to take part in wider marketing and liaison activities
  • Coordinate the production and circulation of key documents and other information as required
  • Line manage a small number of administrative staff, to ensure they are effectively supporting the college
  • Relay work requests from the SLT to other support staff across the college, ensuring they are dealt with in a timely manner
  • Play a role in the coordination of exams within the college
  • Able to proofread documents and also prepare all documents to a high standard
  • Be the First Aid Lead for the school and coordinate the First Aid team
The ideal candidate will have the following skills and experience:
  • Maintain the highest level of confidentiality at all times
  • Minute taking to high accuracy
  • Strong written and verbal communication skills, able to communicate clearly and effectively at all levels
  • Excellent Microsoft Office skills including Word, Excel, Outlook and PowerPoint
  • Attention to detail
  • Great organisational and time management skills
  • Excellent presentational skills
  • Problem solving skills
  • Proactive and works well under pressure
