Office Manager/PAStart: ASAPLocation: Central CambridgeHours: 9 - 5.30pmSalary: £31,200Are you looking for a new challenge Working with the local Parish to ensure that everything runs as smoothly as possibleAs an Office Manager you will be assisting the clergy of the Parish in a number of highly important areas.* Personal Assistant to the Rector Keep diary of appointments; filing and daily communication with Rector and relevant clergy; deal with relevant correspondence; do necessary duplicating; keep record of communications (phone, emails, correspondence); receive visitors; book accommodation forovernight guests; liaise with diocese, staff, parishioners and others* Parish secretary Dealing with communications by letter, email and phone; answering the door to visitors; communicate accurately orally and on paper; record and send off post; record Keycard holders; preparing when necessary, checking and printing the Newsletters, Mass sheets,tickets and papers for parish groups such as the Finance Committee, the Community Council and the SVP; handle confidential information; maintain working environment in the office; maintain noticeboards; organise cover for annual leave; organising adequatecover for personal absence; arranging contractor visits, following up on quotations for work to be carried out, keep a diary for regular maintenance jobs for the church and rectory, take utility meter readings when and where necessary* Child Protection Officer be familiar with legislation; liaise with Diocesan CPO; report concerns to Rector or, if relevant, Diocesan CPO; liaise with parish adults who have contact with children ensuring they know their responsibilities and have a valid check; liaise with parents sothey know how to contact you; keep relevant confidential record of conversations and concerns; instigate relevant action when necessary* Line Manager for non-pastoral staff, to take over from the Rector the line manager responsibility for the internal staff, and to supervise their daily responsibilities, i.e.* Cleaners* Receptionist* Answering enquiriesLiaising with clergy and staff when necessary, when responding to enquiries; keeping necessary record of enquiries; operating internal phones and communication systems; dealing with range of visitors including clergy, tradesmen, parishioners and homeless withappropriate welcome and, when necessary, diplomacy, compassion, and firmness* Handling bookings and events Keeping and informing relevant people of an accurate diary of baptisms, confirmation, weddings, funerals, parish outings and ticketed events; organise coaches when needed, liaising with the organiser of the event, handle event fees and ticket sales; pass onany money involved to relevant body.
