Receiving significant investment recently for their transformational products now is a great time to join their friendly, high performing Team!Reporting to the People and Cultural Lead the Office/Facilities Lead role will have the responsibility of ensuring My Client offices, associated systems and process are run smoothly, efficiently and effectively. You will Support the People and Cultural Lead in ensuring that all HR functions are carried out timely, securely and in accordance with their values and culture. You will also provide support and guidance to line managers on HR functional matters.Working in partnership with and reporting to the People and Culture Lead the Office / Facilities Lead will: Be an ambassador for the company Champion of company values and culture internally and externally Support People & Cultural lead in event planning and operation Management of PPM and facilities records and visits to ensure a safe and compliant working environment Support the smooth running of the office for both facilities and IT/Telecoms Support in the periodical review of facilities contracts for performance and value. Manage facilities contractors when on site for periodic or ad hoc works Lead on the communication of service disruption and escalation Support the People & Cultural Lead in ensuring that H&S practices and policies are implemented which ensure the wellbeing of all employees. Collate and process training records providing cyclicle reports for expirations and renewals Maintaining a fit for purpose, clean and tidy environment for the team and visitors Process all HR records in a timely fashion ensuring they are current and accurate and compliant with GDPR. New starter set up and onboarding Assist in recruitment campaign logisticsdiaries, processes and communications Ensure all HR documentation is recorded electronically and in hard copy securely and compliantly Assist the P&C Lead in onboarding / exiting processes for new starters and leavers Assisting in diary management of Team/CEO and meeting spaces Supporting in the timetabling, collation, editing and circulation of Leadership Team and Board Reports, co-ordination of face to face / video-based Board meetings and associated logistics. First point of contact for welcoming and attending to visitors needs. Assisting in arranging and co-ordinating internal and external meetings and functions. Ensuring the office and kitchen are well supplied and kept to a high standard with just in time ordering. Answering telephones, taking and passing on messages and corresponding via e-mail as appropriate. Support to senior management team including travel (in liaison with travel agent).
