Job Description

Office Administrator required for this company located on the outskirts of Cambridge City (with parking).Hours of work: 9am - 6pm, can be slightly flexible but min would be 35 hours per weekLocation: Outskirts of Cambridge City (with parking)Working in the office 5 days a weekPay: £13.46 per hourYou will be the main point of contact for day to day office matters and to provide administrative support for legal, HR and health and safety related tasks

  • Organise staff social events e.g. Christmas event, summer social event
  • Book train/taxi journeys, agendas/travel arrangements/appointments and restaurants for staff as required
  • Manage visitors and the sign in book
HR Administration
  • Administer HR correspondence including offer letters, contracts, background checks (i.e. eligibility to work in the UK), reference requests, probation letters, contract change letters and all other associated administration as required for on-boarding/induction,performance reviews, pay reviews and exit interviews and sharing feedback as appropriate
  • Maintain accurate staff training records, monitor mandatory training requirements and coordinate relevant training to meet mandatory and specialist training needs
  • Provide administrative support to the Authorising Officer for sponsorship / visa applications, maintain immigration records, process changes and ensure notifications to Home Office are submitted in a timely manner
  • Ensure that absence data and salary administration information for appointments, job changes, pensions, leavers etc are authorised / uploaded to the online portal (PEM) within payroll deadlines
  • Support managers to resolve non-complex employee relations issues in accordance with company policy
  • Support hiring managers with the recruitment process including advertising, interview planning and associated candidate correspondence as required, maintain recruitment records in accordance with GDPR guidance and the company data retention policy
Health & Safety
  • Provide administrative support to the Health and Safety Officer and conduct general office risk assessments (excluding lab areas)
  • Monitor mandatory training requirements (First Aid / Fire Marshall) and coordinate relevant training to meet mandatory requirements
  • Ensure all servicing is complete on health and safety equipment e.g., fire extinguishers and PAT testing
  • Ensure health and safety equipment including first aid boxes, eye wash kits, COVID tests and antibacterial cleaning items are always stocked and in date
