I am searching for someone to fill the role of a Financial Planning Administrator to be a part of the private client Business Support Team, you will primarily be responsible for delivering high standard, proactive administrative support to the adviser team,working alongside the Paraplanning team, to ensure an efficient and excellent client customer experience.Main Duties and Responsibilities * to provide proactive administrative support to the adviser team, working alongside the paraplanners to ensure an efficient and smooth service. * To deliver high standard administrative support and customer service within the financial services team in line with the strategies, policies, and procedures. * Ensue the client files are kept up to date and that any compliance requirements are dealt with. * Electronic Filing/Ensure all client electronic files are maintained to a very high standard and regularly updated.* To assist other team members as and when needed to help cover holiday/sickness cover and busy periods: Opening and scanning incoming post, other scanning, and electronic filing, sending outgoing post, mail outs etc., arranging confirmation of appointmentemails/letters if required.* To maintain client confidentiality, data protection and other legislative and organisational responsibilities.* Ensure all ongoing client servicing requirements are dealt with in a prompt efficient manner and ensure regular updates are provided.* Ensuring our back-office system is kept up to date.* Ensure data protection and compliance requirements are adhered to and met.* Arranging and confirming meetings with clients on behalf of the Financial Planners if required.* Review meeting notes and record actions post meeting.* Other general office duties may be required.Relevant Skills, Attributes, Experience and KnowledgeEssential:* Organised with the ability to multi-task.* High level of accuracy and attention to detail. * A positive attitude and a strong desire to deliver high quality results.* Able to demonstrate reliability, discretion, confidentiality, and flexibility.* To have good knowledge of the financial services industry and surrounding legislation.* To use initiative to proactively reduce the workload of the Financial Planners.* Ability to problem solve as far as possible.* Ability to manage own workflow in accordance with procedures & to ensure deadlines are met.Desirable:* Experience of operating in a regulated environment, especially the Financial Services industry, would be a strong advantage but is not essential.* Good knowledge of Office 365, Word, Excel, Outlook & PowerPoint desirable, but not essential.* Experience in Intelligent Office by Intelliflo desirable, but not essential.* Qualification as a Level 2 or 3 CII Financial Services professional desirable, but not essential.* Own transport is preferred due to location of office.This is a full time, permanent role, salary DOE up to £26,000.
