EXECUTIVE ADMINSTRATORPeriod: 9 months from 16 02 2023 or from agreed start dateFull-timeLocation: West CambridgeMy prestigious Cambridge Client is looking for an experienced Executive Administrator (EA) to join their small, friendly team working on making a difference in society by transforming how they deliver the built environment. They are supported by and workclosely with industry. Their research work focusses on topics that include sustainability, social value, well-being and productivity, and we manage a world-leading masters education programme.You will support the Centre Director and the Centre Manager and, from time to time, also support the other three Centre academics. Working from home for a day or two each week is often possible but is based on what is happening in the Centre that week (theysupply IT equipment).The Centre is based in a new building in West Cambridge close to the new West Cambridge Hub and has good transport links and parking in the Park and Ride.The scope of the role: Supporting the work of the Director and Manager and, from time to time, the Centres academics Liaison with industry and research partners to set up meetings and events Providing secretarial support to various Committees and Boards (travel required up to 3 times a year out of Cambridge and some travel around the city of Cambridge). This will include gathering and collating data, particularly from their research activities. Responsibility for recruitment and HR administration processes Making travel arrangements Tracking and submitting expenses and other finances Undertaking ad hoc projects appropriate to the role-holder as directed by the Centre Director and the Centre Manager.The role reports to the Centre ManagerPerson profileEssential knowledge, skills and experience required for role.Education & qualificationsEducated to at least A-level standard plus GCSE or equivalent Maths and English Excellent and proven administrative skills Excellent and proven event management skills Proven expertise in using various IT software packages, including MS Office to a high professional standard Ability to manage and organise a diverse range of people and activities as well as exercising judgement in respect of organising and prioritising workload. A good eye for detail Experience of financial managementInterpersonal & communication skillsGreat interpersonal skills dealing with a wide range of people with discretion, sympathetically and effectively.Relevant experienceExperience in understanding the demands of providing a first-rate administrative support system in a complex research and education environment. Event and meeting organisation Proven ability to work on own initiative and under pressure. Able to work to set deadlines and deal with conflicting priorities and uncertainty. Self-motivated A willingness to learn and undergo training as required for the role The role-holder will have access to sensitive material relating to staff salaries, funding agreements and intellectual property rights. Discretion and confidentiality are required. Flexibility: When working to tight deadlines, or where meetings and events are scheduled outside the normal working day, it may be necessary very occasionally for the role-holder to adjust working hours but always agreed in advance.
