Emergency Bed Service Co-OrdinatorLocation:CambridgeParking: No parking provision on site, good bus and Park and Ride provision nearby and on-site cycle parking is available.Job Type: TemporaryDuration of booking: This is a temporary expected to be for 3 months and likely to be longerProposed start date: ASAPSector: HealthcareBase: OfficeRemote working option: NoBand: 3Pay Rates: Day: £10.69Night / Saturday: £13.89Sunday / Bank Holiday: £17.10Working Days and Hours: These can either be full or part-time from 8:00-20:00 and 20:00-8:00 is an 11.5-hour shift that varies each month on a rota basis.Job SummaryWorking for an emergency, 24/7 neonatal and paediatric transfer service. To co-ordinate collection, storage and reporting of information regarding regional cot availability. To facilitate transfers of babies to the Neonatal Intensive Care Units and PaediatricIntensive Care Units in the region. To be the first point of contact for all referrals. To provide admin support 24/7 (shift times are 08:00-20:00 or 20:00-08:00 and will include a variety of day, night, weekend, and bank holiday shifts, distributed as equallyas possible with the priority being covering the service). This role is not patient facing and requires some lone working.Keydutiesandresponsibilities:

  • The EBS coordinator is the first point of contact for people telephoning the regional 24/7 emergency PaNDR hotline, facilitating requests for transfer, advice and guidance, cot and bed locating and rota enquiries. These requests are often in emergency scenariosand can require long periods of concentration and focus and the ability to deal consistently with people in a clear, calm, and polite manner.
  • Take administrative referrals via EPIC electronic patient record for paediatric, neonatal, and in-utero transfer requests.
  • To take all relevant details during referral and record in line with prescribed procedures.
  • To provide guidance to regional colleagues regarding PaNDR referral processes and operational practices.
  • To facilitate accurate data capture for reporting via prescribed systems and follow up reviews.
  • To collect information about Regional Neonatal cot availability via telephone and liaise with London EBS regarding cot capacity.
  • Monitor in-utero activity in the region and use initiative and discretion to escalate to transport team where appropriate cases for awareness, facilitating forward planning.
  • To develop and maintain good interpersonal relationships with the other units in the region to optimize accurate and reliable reporting.
  • To liaise with the transport teams whilst out on transfers.
  • Answer the telephone and respond to often complex enquiries in an efficient, friendly manner with the ability to remain calm and polite under pressure. Manage complex and challenging conversations in a professional manner, assuring and guiding stakeholdersthat can be stressed/anxious.
  • To understand how/when to escalate/redirect enquiries or concerns to another team member.
  • To maintain awareness of movement and activities around the region that may impact on transfer arrangements and to document and act upon this accordingly.
  • Locate cots, paediatric beds and obstetric beds within region and when necessary out of region, using own initiative and an understanding of the East of England to best place patients.
  • Work and communicate within a multi-disciplinary team of doctors, nurses, drivers and other clerical staff.
  • Receive and respond to straightforward emails.
  • Aid a streamlined handover between yourself and other EBS co-ordinators to ensure no information is lost/forgotten between shifts.
  • Contribute to and present at daily handovers as part of the MDT, providing information on cot and bed status across the EoE region.
  • Prepare and disseminate daily PaNDR activity reports to regional commissioners and management teams.
