Job Description

Business CoordinatorHuntress has been appointed to source an enthusiastic, action-oriented, and highly organised business co-ordinator to provide support to our team in our office in Cambridge, working for one the largest, if not the largest tech companies in the world.Description of role ;

  • This position will be supporting senior leads, in addition to supporting their teams. The ideal candidate for this role will need to be able to hit the ground running and be agile within a fast-paced environment, have great interpersonal skills, drive &initiative, demonstrate good judgment, able to maintain confidentiality, prioritise and handle multiple tasks simultaneously.

  • Make administrative decisions and requests for information on behalf of senior leaders with respect to complex calendar management, spanning multiple global time-zones.
  • Work efficiently and effectively to manage all logistics for internal meetings/events, off sites, appraisal meetings, morale events, team all hands meetings, and celebration events. Co-ordinate room bookings, catering, venue selection, queries, budget management,agenda management, minutes, actions, and material preparation.
  • Travel and expense support for senior members of the team.
  • Onboard new joiners and off-board leavers for the team: Handle pre and post requirements.
  • Maintain relevant aliases and distribution lists.
  • Process visitor requests. Handle pre, during and post visitor logistics.
  • Process lecture requests. Handle pre, during and post lecture logistics.
  • Process general queries. Triage and manage queries.
  • Ensure awareness and compliance of administrative operations policies and procedures.
  • Partner with support staff across the business geos to ensure consistent experiences.
Skills;
  • A self-starter with the ability to anticipate needs and act ahead of direct guidance in a fast-paced environment.
  • Good written and verbal communications skills.
  • The ability to handle highly sensitive material with tact and professionalism.
  • The ability to see the big picture as well as the details.
  • Able to react with appropriate urgency to situations and requests.

  • Proficiency with productivity software, including Word, Outlook, PowerPoint, Excel, and Teams.
Experience;
  • 2+ years in an administrative, project management, business support or customer service role (or equivalent) in a fast paced and complex environment.
