Job Description

Workwell are looking for an experienced, analytical, and highly responsible Head of Pay & Bill Manager to manage our payroll and billing processes and ensure that our financial transactions are 100% accurate and completed within deadlines. You will be responsible for managing the payroll team and operational tasks across three sites, including our office in India. Your duties include the management of processing billing information, calculating statements, checking invoices, processingpayments, monitoring payroll processes for accuracy and irregularities, analysing payment records, onboarding and training new customers, and settling customer issues where required.You will also work with compliance to ensure that all transactionscomply with legal regulations and internal policies.Experience with CRM and payroll systems is required, as well as adaptability and IT proficiency. Essential requirements for the role
  • Develop, execute, and monitor the effectiveness of our payroll and billing management strategies
  • Manage the day-to-day activities within the payroll team, including managing structure, payroll delegations.
  • Regularly review process controls to mitigate errors and risks
  • Review and manage the service delivery with our offshore payroll team, creating a strong working relationship
  • Arrange and manage transition plans where specific transactional tasks are offshored to our India teams
  • Develop meaningful KPIs across the team that are measured and reviewed consistently
  • Manage any plans in relation to onboarding a new customer to use our payroll services, including data migrations and training
  • Ensure that all payrolls processed within our funding model have strict controls in line with funding criteria’s.
  • Complete regular service reviews with key customers
  • Ensure that payrolls are processed in a time-efficient manner by identifying any irregularities or errors in our payroll system
  • Analyze payment records and tax reports, track pending debts, and communicate any significant findings to our operations director
  • Ensure that our payroll and billing processes comply with government regulations, as well as internal policies and procedures
  • Respond to inquiries from both internal and external stakeholders regarding any changes or updates to our billing methods
Person Specification
  • 6+ years of experience in a similar role
  • A degree or financial qualification highly advantageous
  • Experience calculating expenses and processing invoices and billing information
  • Familiarity with payroll and billing management systems
  • Knowledge of HR analysis tools, such as Paylocity, is preferred
  • Superior organizational and time-management skills
  • Exceptional interpersonal, communication, and negotiation abilities
