Job Description

We have a fantastic opportunity for a PA at Bury Council. This is a full-time temporary role for the next 3 months, with the possibility of extension.What is the roleBury Council are looking for a PA to work as part of a team of PA’s, this is an exciting opportunity to provide PA support to a number of Directors and Assistant Directors and Cabinet Members in the Council, at the heart of supporting the delivery of theCouncil’s priorities.What are your responsibilities

  • Prioritise work to meet deadlines, as the post holder will be supporting multiple Directors/Cabinet Members.
  • Maintain an electronic bring forward system on behalf of the Director/Cabinet Member.
  • Arrange meetings with multiple attendees as requested to include room booking, setting up of equipment, notification of reception and any other requirements.
  • Receive internal and external enquiries, ensuring that maximum information is obtained from the enquirer in order to facilitate an informed response.
  • Management of the Director/Cabinet Member diary commitments ensuring adequate time allowed, filtering appointments, ensuring all relevant participants are invited and adequate preparation time.
  • Maximise and promote use of all functions of Microsoft 365 including Outlook, Teams, Excel, Word, and PowerPoint in respect of ow work and that of senior management to include use of email, diary management and arranging meetings.
  • Support in the production of agendas for meetings and arranging circulation of agendas and papers, taking minutes/action notes where appropriate.
  • Arrange travel and accommodation where required.
  • Exercise judgement in keeping Directors/Cabinet Members advised of general issues arising throughout the Department/Council.
  • Exercise discretion and sensitivity in dealing with confidential issues.
  • Prioritise work to meet deadlines to enable the provision of support to multiple Directors/Cabinet Members.
What skills do you Need
  • Must have previous PA / EA experience.
  • Excellent people skills, as you will be speaking service users, and other members of staff including managers.
  • Strong IT skills, as you will be using internal systems as well as Microsoft packages including Word and excel.
  • Excellent Telephone Manner
  • Minute Taking Experience
  • Diary Management
