Job Description

  • Managing CEOs calendar, coordinate meetings and appointments and conducting a short daily briefing of key meeting and appointments
  • Monitoring a high-volume mailbox; respond, flag and follow up ensuring complete confidentiality is adhered to at all times
  • Dictation of emails and other communications
  • Managing CEOs action tracker that requires liaising with Directors, Managers and Contractors, always monitoring the action status and initiate follow ups
  • Screening recruitment, coordinating interviews, and communicating with candidates
  • Maintain an efficient and up to date filing systems for the prompt retrieval of information and documentation when required
  • Managing incoming and outgoing post/correspondence
  • Ensuring all due bills are processed in a timely manner including CEO sign off and passing to accounts
  • Low volume travel arrangements
  • Conducting research when requested
  • Working on Ad hoc projects as required
  • Processing personal requests on a daily basis and on hand for shopping or lunch runs
  • Supporting a Managing Director with any required administration
The remaining 20% of your time will be required to provide administrative support to those team members who require assistance, this essential service is critical to the team and will involve but is not limited to the following:
  • Assisting Design Managers
  • Support the Document Control Manager
  • Processing of incoming post
  • Collating/binding board reports
  • Book training courses
  • HR support
  • Monitoring recruitment mailbox
  • Ordering stationary
  • Provide cover for the Executive Assistant to CEO/Office Manager
  • Collation of divisional contributions for the creation & submission of quarterly newsletter
Essential requirements:
  • High degree of proficiency in Microsoft Office
  • Exceptional organisational skills
  • High levels of attention to detail
  • Ability to prioritise tasks effectively
  • Always demonstrate discretion and trustworthiness
  • Good interpersonal skills with the ability to communicate effectively at all levels
  • Excellent written and oral communication skills
  • The art of multitasking and problem solving
  • Most importantly a can-do attitude with enthusiasm and energy daily
