Job Description

Administrator Location: Bromley SouthSalary: £10.20 (Effective from 1st December 2022)Hours: 25 hours Per week over a 5 day weekBenefits:

Purpose of the post: To provide administrative/secretarial support to the Corporate Admin Department and key managers, including the Head of Quality and Mental Health Operations Manager.Our Administrator duties will be:
  • Deal with general issues that arise in the Bromley office, e.g. access, deliveries, meeting room bookings etc.
  • Play a key admin role in the maintenance of new information systems, including document management, intranet, care management etc.
  • Respond to live website enquiries via the chat facility to provide information and advice as required.
  • Undertake ad hoc administrative tasks in support of the Executive Administration Manager and Admin department as required.
  • Daily checking of Care Audits on Microsoft Forms to log, download and circulate all submissions to relevant managers.
  • Liaise with Ambient Guardians (A group of people we support who work alongside the Quality Team) to organise meetings and make travel arrangements as required.
  • Produce easy read minutes and policies for Ambient Guardians and other people who we support.
  • Liaise with Quality Checkers to assist with arrangements for audit visits and associated travel.
  • Prepare documentation for Quality Checks.
  • Input responses from hard copy Quality Check audit forms to produce electronic records for analysis.
  • Co-ordinate Trustee visits to services, liaising with Trustees and Managers of services.
  • Produce required posters, correspondence etc. for Trustee visits and follow up reports after visits.
  • Update Trustee visit audit tracker to ensure all visits are recorded.
  • Attend regular meetings (e.g. Quality Group, Quality Team, Involvement, IPC, Service User Involvement etc.) to take minutes or action notes.
  • Support the Head of Quality with general administrative tasks.
  • Maintain databases for Bromley, Newham & Sutton services, ensuring that all information is updated on a timely basis (hospital discharge/admissions, leavers/new clients, referrals, safeguarding, comments & complaints etc.)
  • Produce fortnightly panel notes for Bromley mental health services.
  • Produce quarterly reports for mental health services.
  • Take minutes of monthly Service Managers meetings.
  • Organise mailings for Credo creative arts courses.
  • Organise client events (Christmas Ball, Summer Picnics etc.), liaise with suppliers and managers, assist with mailouts and physical event preparation.
Our Administrator will need the following key skills and knowledge:
  • Confident in all MS Programmes
  • Excellent communication skills, both verbal and written, to deal with a wide range of people
  • Ability to take action notes and formal minutes of meetings
  • Ability to manage time and exercise judgement in order to balance conflicting priorities and progress chase when necessary
  • Aptitude and interest in using new technology systems, intranet etc
  • Ability to work on own initiative and as part of a team
  • Understanding of and commitment to equal opportunities
  • Discrete when handling confidential or sensitive situations
