Management Team Assistant / Central Bristol / Office based£26,000 - £28,000 DOE + Excellent working environmentJune 2024 - June 2025 (Fixed term contract)Hours: Monday to Friday 9.30am - 6pm (some flexibility)The Company:Rapidly expanding organisation who have fantastic values, a superb working environment and a very happy work force, they even have a "Happiness Team!" They have also won a variety of awards recently to include "Best places to work"The Job:The purpose of this role is to provide comprehensive, professional, well organised administrative and overall support to the Executive and Senior Management Team. Reporting to the Director of Development and working closely with the Executive Assistant, toensure smooth operations and administration coordination. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of seamless professionalism and confidentiality.Key responsibilitiesSupporting the development team with gathering materials and keeping track of development priorities in weekly meetings, taking notes on development calls and chasing relevant parties for meetingsPlanning award and festival dates up to two years in advance.Coordinating and submitting award entries alongside relevant teamsPlan, organise and maintain a constantly changing calendar, scheduling and re-scheduling appointments and booking the required spaces and equipment to support the Executives and SMTProvide a point of contact and liaison between the Executives, SMT and both internal and external contacts, working confidentially and building strong relationships and managing the executive’s time effectivelyResponsible for managing and updating the companys social media accounts in line with company news and awardsPrepare, plan and co-ordinate business travel and accommodation both nationally and internationally, adhering to the expenses policy and processes to deliver business requirements and within budgetEnsure all relevant paperwork is available for meetings/conferences ahead of time either in hard copy or electronically to facilitate the smooth running of these eventsCollating and filing expense reports for the C-Suite and Executive TeamAssisting the Executive Assistant with day to day administrative tasksUndertake other duties appropriate to the post, including taking minutes of meetings, providing support with presentations, and any other tasks deemed appropriate in order to assist the Executives and SMTThe Benefits: 25 days holiday + 8 days bank holiday, free refreshments and summer hours leaving at 4pm (instead of 6pm) on a Friday, beautiful offices, lovely people and gorgeous views over Bristol!
