Job Description

The Job:On behalf of our client we are seeking a Studio Manager / PA to Managing Directors . This is working for a production company based in central Bristol. The are seeking ahighly motivated and experienced Studio Manager. You will be tasked with ensuring the smooth running of two busy animation studios on a day-to-day basis, managinga department of two Studio Coordinators, and providing administrative support to the Managing Directors & senior staff.Responsibilities will include:

  • To provide administration and PA support to the Managing Directors
  • Handle daily diary correspondence, bookings and enquiries, prioritising as appropriate
  • Booking travel arrangements, including both domestic and international air, train and car travel and hotel stays along with any required travel paperwork
  • Creating clear travel itineraries and budgets
  • Assisting with client visits
  • Attending meetings to take minutes, manage agendas etc
  • Liaising with Managing Directors to organise companywide meetings and events
  • Act as first point of contact with external PR company
  • To manage a department of two Studio Coordinators; delegating tasks and ensuring that they have been completed to a high standard in a timely manner
  • Managing and reconciling a studio budget, signing off on certain costs and sourcing quotes for any large expenditures
  • To liaise with the building managers to resolve any issues with the studios
  • To liaise with tradespeople as and when required for any maintenance tasks needed across both sites
  • Sourcing quotes for and arranging couriers as and when needed
  • Answering incoming calls to the studio and redirecting/logging as appropriate
  • Managing key elements of the studios such as electricity suppliers, phone and internet supply, fire safety, housekeeping, boiler service and maintenance etc
  • Keeping both studios well stocked with supplies (kitchen stock, stationery etc)
  • Working with the IT department to coordinate and track the sending out and return of equipment to remote workers
  • Tracking and purchasing licenses for all software used across the company, ensuring that invoices are accurate and up to date
  • Petty cash reconciliation
  • Logging all sick leave across the company and working closely with Line Producers to share and log appropriate crew information
  • Getting all new starters at the company set up in collaboration with Line Producers & Production staff
  • Managing on-going Covid policy, safety measures and infection response
  • Managing the studio enquiry email account, responding to and escalating enquiries to the appropriate members of staff
  • Maintaining the recruitment database and overseeing the logging of all speculative work enquiries
The Person:The right candidate will have three to five years of relevant experience or in a similar role. Having exceptional communication skills is essential having excellent listening skills and an ability to adapt communication styles to suit the situation. Youwill need to have the ability to multi-task, prioritise and delegate, often in a fast-paced environment. A high level of PC literacy is essential, including excellent written communication skills, with good working knowledge of Excel and Outlook and a keeneye for detail. You should be highly self-motivated, be able to use their initiative and possess strong problem-solving and time-management skills. A pro-active, positive and flexible approach to work is paramount.TheHours: 37.5 hours per week, 9am5:30pm MondayFridayThe Location: Central Bristol (no car parking)The Salary:Up to £35,000
