Job Description

Working for a leading organisation in Bristol, our client is looking for a Senior Medical Secretary with experience of leading a team to join them on a temporary to permanent basis.Job Overview

  • To provide secretarial support to Consultants you are allocated to (80%)
  • To provide a daily management structure to a team of Medical Secretaries (20%)
  • Secretarial responsibilities
  • Typing Consultants clinic notes and letters to General Practitioners.
  • Booking clinic appointments, closing and opening of clinics
  • Booking of theatre (where appropriate)
  • Preparing clinic notes and x-ray’s/reports
  • Answering patient and Consultant queries
  • Providing copy clinic letters when needed
  • Account management (incl. debt chasing)
  • Opening Consultants mail and distribute.
  • Liaise closely with Bookings, Outpatient Department, X-ray and Medical Records Department as and when information is required.
  • Assist with additional administrative duties required
  • Team Leadership responsibilities
  • Organise and hold weekly 1-2-1’s and monthly department meetings with Senior Manager
  • Instigate and implement any new procedures within the department by supporting the Administration Services Manager.
  • Daily management of the team, reporting sickness, managing annual leave, and other absence whilst ensuring optimum cover at all times.
  • To ensure that work is shared out equally within the department by holding a daily huddle with the team to see who has capacity
  • Attend any relevant meetings and feedback any information at team meetings.
  • Monthly timesheet management
  • Qualifications and Experience requiredEducated to GCSE level including English and Maths
  • Recent Medical Secretarial experience
  • Experience of leading a team working in a customer facing role.
  • High degree of accuracy and a methodical approach to workload
  • Ability to work to tight deadlines and under pressure
  • Previous experience of compiling rotas.
  • Excellent organisation and communication skills
  • Computer literate with good keyboard skills including MS Office
  • Good customer care skills with the ability to handle difficult situations
  • Audio typing experience, and 60+ wpm typing speed is desirable
