Job Description - Full time ReceptionistJob Title: Community Rehabilitation Company (CRC) Receptionist based atGROUND FLOOR, NAUTICA HOUSE, NAVIGATION BUSINESS PARK, WATERS MEETING ROAD, BOLTON, BL1 8SWReference: CRC019Grade: Band 2Reports To: Interchange Manager or Community Payback/Unpaid Work (CP/UPW) Manager, dependent on locationMain Purpose of Post:Provide Reception services for the CRC Office to provide an excellent first impression and service to all visitorsKey Responsibilities:• Provide the first point of contact for all visitors to the CRC Office, responding to queries or referring to the relevant person• Notify the relevant colleague or National Probation Service (NPS) staff member that the visitor/service user has arrived• Manage telephone calls, respond to enquiries and redirect calls to appropriate recipient• Record, distribute and dispatch mail for the office• Positively engage with service users to provide support to Flex and CP/UPW Team/s as required (e.g., issue expenses to service users)• Provide administrative support to the Flex and CP/UPW team/s on request, e.g., room bookings, recording all visitors, preparing letters and interrogates IT systems to provide information relevant to the CRC, ensuring confidentiality and data protection are maintained• Ensure the facility is well maintained in line with agreed processes, liaising with the Property Team• Perform other duties commensurate with the post as from time to time may be determined by the line manager, Director or aboveOperational Planning and Management• Assist the Management Team with Health and Safety compliance to maintain a safe environment, e.g., testing panic and fire alarms on a regular basis, ensuring logs/records are maintained in line with policies• Maintain, record and order office consumables, including stationery as required• Work flexible hours within the remit of personal contracts or agreed variations, subject to exigencies of the serviceFinance and Commercial• Provide admin. support to the Interchange Manager to manage devolved budgets following company policy and procedures, e.g., petty cash and travel warrants/ticketsDecision Making• Actively seek advice and support from the line manager or members of the Flex and CP/UPW Team/s when necessary • Comply with Safeguarding Children duties promoting the welfare of children and alerting the relevant colleagues should any risk be identified• Responsible for contacting emergency services if requiredRelationships• Collaborate with others to find solutions to problems and improvements to ways of working• Build an effective working relationship with the Flex and CP/UPW Team/s and other colleagues, including the Property TeamEquality and Diversity• Participate and engage in equality and diversity training, reflecting learning in working practices• Work to eliminate discrimination, harassment and victimisation• Ensure best practice and company policies and procedures are followed to achieve contract requirementsQuality/Health and Safety/Environment • Be actively aware and follow the company Quality, Safety, Health and Environment (QSHE) policies, procedures and personal responsibilities, as set out in these documents• Attend all QSHE mandatory training as requested• Ensure compliance with Health and Safety (H&S) policy and procedures, taking reasonable care for own health and safety and that of others, who may reasonably expect to be affected by your action or inaction• Where relevant, use recognised incident reporting processes to escalate risks, as stated in the H&S policy and arrangementsPolicies and Procedures • Be actively aware and follow all company policies, procedures and personal responsibilities as set out in these documents• Be aware and follow any legal obligations as required for the postPerson SpecificationAttributes Essential DesirableProfessional Qualifications, Education and Training GCSEs including English and Maths grade C (or above) or equivalentRelevant Experience Experience of working directly with members of the public ideally in a service environment Experience of working with business software solutions, e.g., Microsoft Word and ExcelRelevant Knowledge Understanding of the Service provided by the CRCCore Competencies (aligned with the National Occupational Standards – Justice)Contribute to the development of a culture in which people are respected and valued as individuals • Creating an environment that encourages people to identify their own personal beliefs, values and priorities, and decide for themselves the actions they wish to take• Identifying factors which are known to trigger certain kinds of behaviour in the individual and take appropriate preventive action• Adopting a personalised approach to rehabilitation• Supporting individuals to engage in activities which are likely to stimulate their interest, that are consistent with their preferences, and supports constructive changes in their behaviour• Seeking to build positive relationships
