Job Description

SpaMedica is one of the UK’s leading independent providers of ophthalmic services and largest provider of NHS cataract surgery.We are looking for an experienced People / HR Administrator (FTC) to join our HR team based in our Bolton Head Office and a part of our wider People Team to undertake tasks in relation to HR matters, ensuring smooth flow of HR Information and documentation to provide an efficient service to all SpaMedica sites.The successful candidate will be an effective team worker, have the ability to work independently, be exceptionally organised and efficient, with high level of accuracy and attention to detail.This position is a Fixed Term Contract for 12 months.So, what can we offer you

  • In 2018 we became the largest provider of NHS cataract surgery - 24.000+ surgeries per annum.
  • We have 21 hospitals and will be opening new hospitals over the next 12 months.
  • The Role:
  • Act as the first point of contact for all queries, managing the HR Inbox and email responses, escalating to the People Advisors/People Business Partners where necessary.
  • Completion of generalised administrative duties, including draft letter writing, completion of mail merge documents.
  • Regular report running for new starters, leavers, maternity information, changes.
  • Maintain and update the HR System (CIVICA) - inclusive of historic data and monthly updates in line with payroll deadlines, i.e. annual leave, absence.
  • Provide HR System (CIVICA) support and guidance to Managers and Employees, assisting them with query resolution.
  • Provide administration support for SpaMedica’s Learning Management and Performance System, eyeLearn and eyePerform.
  • Assist the Head of People/People Business Partner/s with project work, such as (but not limited to) Flu Vaccinations, COVID admin support, Bonus and Salary review collation using Microsoft Excel.
  • Management of employee personnel files, ensuring an organised approach is taken at all times, completing audits and cleanses where required.
  • Support the business with the booking and co-ordination of travel arrangements.
  • Administration of the onboarding process.
  • Work as part of a team to proactively utilise the HR System (CIVICA) identifying opportunities for report and system development to support the growth of the business.
  • Undertake project work as directed by the People Business Partner and/or Head of People.
  • Complete Ad Hoc duties at the request of the People Business Partner and/or Head of People.
  • You must also posses the following:
  • Administration experience in a busy office environment
  • Excellent communication skills both written and verbal and understands the importance of customer focus
  • Good working knowledge of previous HRIS systems, such as CIVICA (preferred) and Microsoft Excel, Word, and Outlook.
