Job Description

National Highways currently has an exciting opportunity to join the General Counsel Directorate as a Senior Administrator based in Birmingham.Your new roleYou will be experienced in all aspects of administration and good governance and play a pivotal role in supporting the Company Secretariat and the companys senior leadership team. You will support the company secretarial team, be able to work independentlyand pro-actively. Good communication and interpersonal skills are essential as is attention to detail.The role is open to all who meet the basic requirements. However, it is felt it would be particularly suited to someone who has a solid background in administration and dealing with people at the highest level. This is an excellent opportunity to work fora busy team in a large organisation that values a good work life balance.What youll be leading on

  • Providing general administrative support to the company secretarial team.
  • Providing administrative support to enable the smooth running of Board, Board committees and Executive committee meetings, including the collation and timely distribution of meeting papers, booking rooms, organising lunches, diary management.
  • Preparing meeting packs using Board management software, Diligent.
  • Supporting the Company Secretarial Team with formulating agendas for various committees, helping maintain the committee action trackers and expediting meetings papers for these meetings.
  • Supporting the Company Secretary and Assistant Company Secretary with the annual Board Effectiveness review.
  • Preparing the draft annual corporate calendar for timetabling Board and Committee meetings.
  • Providing administrative support for the company policies, policy owners register, managed by the Company Secretarial Team, including the Execution of Documents policy, the Conflicts of Interest policy, and Gifts and Hospitality policy.
  • Providing administrative support on other ad hoc matters such as financial administration (payment of invoices/completing documentation).
  • Promoting safe systems of work and compliance whilst helping to improve health, safety, and wellbeing.
  • Good knowledge of MS 365, including MS Teams, Excel, and Word. Experience in Diligent would be helpful but not essential as training will be given.

  • A willingness to pick up other tasks from the team as and when the need arises.
A bit about usThe General Counsel Directorate encompasses the companys Legal Team and Company Secretariat. The successful candidate will work in the Company Secretariat, a busy team that provides support to the Companys Board, Board committees and Executive committeeon a wide range of issues. The team is responsible for ensuring that the Companys corporate governance framework and culture meet good practice expectations and complies with relevant statutory and corporate governance obligations.
