Job Description

Personal Assistant - FTCBirmingham Office - Hybrid Working - Immediate StartSalary - £25,000 - £29,000FTC - Full Time Monday to FridayMy client is a leading provider of legal services to the health, social care, housing, and emergency services sectors. The firm has a turnover of £50m and around 550 staff across 5 offices nationally. I am currently recruiting for a Personal Assistant, ona fixed term contract, who is a team player, focused with good attention to detail, ideally with previous experience in the legal or finance sector.Duties and Responsibilities of a Personal Assistant:The Legal PAs principal role is to provide lawyers with the support they need to perform the task of providing legal services to clients and help them maximise the amount of time they can spend on fee-earning and other essential non-fee-earning tasks byassisting in the management and execution of their day-to-day workload.

  • Preparing correspondence, attachments, documents, reports, presentations, faxes etc or checking those produced by Document Production Centre before being passed to the relevant Lawyer and undertaking basic/minor amendments if/where appropriate
  • Typing of urgent correspondence
  • Producing and maintaining Excel spreadsheets
  • Managing diaries, ensuring they are up to date and reminding lawyers of meetings
  • Arranging meetings and virtual meetings using Zoom or Microsoft Teams, booking conference rooms, refreshments, checking rooms prior to meetings etc and liaising with other attendees
  • Assisting lawyers in ensuring their time is recorded properly and entered the time recording system
  • Regular communication with PAs and fee earners, providing detailed handovers and updates when transferring from division to division
Skills of a Personal Assistant:
  • Previous PA experience, preferably within a law firm
  • Experience of working as a Float PA is an advantage but not essential
  • Advanced knowledge of One Place, Microsoft Word, Outlook, Excel, PowerPoint, Visual Files, Aderant, Winscribe and the Internet
  • Excellent telephone manner and, after training, competent knowledge of telephone system. Excellent communication, organisational and team skills
  • Excellent attention to detail
  • Flexible and dependable, able to take the initiative
