My client is an exciting Media Agency and togetherness and collaboration is the heart of everything they do. With more to offer than your usual office space this is an opportunity not to be missed.This is a 6 month (min) maternity contract for the role of PA to CEO.Looking for someone to provide seamless day to day support to the CEO of a fast paced, fast growing Social Media Publishing Agency.This role would suit an articulate, self motivated individual, who will be reporting directly to the CEO. This role will provide executive, administrative, and development support to the CEO.The PA to CEO will serve as the primary point of contact for Internal and external enquiries on all matters pertaining to the CEO. You will also serve as a liaison to the Board of Directors and SLT team.Key Responsibilities Assist the CEO with the general day to day administrative duties and complete a broad variety of administrative tasks. Organise and maintain the CEOs diary. Arranging, scheduling, setting up and occasionally attending meetings for the CEO. Take notes and minutes at meetings as requested by the CEO. Complete expense reports. Monitoring the CEOs email in-box, including prioritising messages, drafting responses or delegating matters raised as appropriate and tracking completion. Liaise with external organisations. Take telephone messages and contact people as directed by the CEO. Arrange detailed travel plans, itineraries and agendas and compiling documents for meetings. Restaurant reservations and venue booking. Organise and arrange team events - e.g. team gatherings, strategy days. Handle confidential matters with discretion. Communicate with the wider team on the CEOs behalf and co-ordinate logistics with high-level meetings both internally and externally. Coordinate meetings and strategic activities with the SLT. Communicate directly and on behalf of the CEO with Board members, wider team, and others on relevant matters. Conduct research on various topics. Liaise with the companys solicitors on various matters. Support the CEO in his external commitments. Filling out applications on behalf of the CEO and the business for various awards. Opening the CEOs post and dealing with routine letters.The above list of job duties is not exclusive or exhaustive and the post holder will be requiredto undertake such tasks as may reasonably be expected within the scope and level of the role.Accountabilitys Position reports directly to the CEO. Position responsible for compiling the Board meeting Agenda. Position responsible for taking Board meeting Minutes and Actions. Position responsible for attending at every monthly Board meeting.Skills and abilities Strong interpersonal skills and the ability to build relationships with stakeholders, including the team, board members, external partners and clients. Outstanding organisational and time management skills. Ability to problem solve creatively. Ability to multitask and priorities daily workload. Comfortable working with Apple Macs and GSuite. Good literacy and numeracy skills, with the ability to think logically. Flexible, willing to learn and develop within the role. Good written and oral communication skills including confident, customer-friendly telephone manner. Ability to conduct research and present data in a succinct and well written manner. Ability to work independently and with professional discretion. Excellent writing, editing, grammatical, organisation and research skills. Ability to work with a broad range of people, including Board members, Solicitors, accountants, junior team members and colleagues of the CEO.Experience Previous experience working at PA to Senior Director or CEO level. Experience working in administration or a process-driven environment. Previous experience working in a social media agency environment preferable but notessential.Minimum of 6 month maternity cover. Ideal for candidates available for an immediate start.£35,000.00 per annum20 days holiday plus BH and birthday and work anniversaryRequires a full diving license and transport Required skills
