Job Description

YOUR IMPACTWe are searching for a highly motivated Administrative Assistant with 3+ years Admin experience to support multiple managing directors and their respective legal teams across various office locations/time zones. Previous experience in supporting executivesor lawyers and managing complex diaries is essential. The role requires exceptional multitasking abilities, strong communication skills and a keen attention to detail. Responsibilities:

  • Supporting MDs and their teams of 20+ people
  • Maintaining detailed calendars and prioriti s ing meeting requests
  • Providing legal spend management support and proactively managing legal billing for the teams
  • Allocate team members to Engagement Letters and NDAs from bankers, coordinate NDA reviews with vendors, and maintain records in Excel and internal databases
  • Book travel arrangements (cars, international flights, accommodation and visas)
  • Expense management, ensuring expenses are processed in a timely fashion
  • Coordinating internal meetings with senior leaders and high-level stakeholders at the firm and forming good relationships with Executive Admins throughout the firm
  • Implementing divisional policies and providing guidance to their teams
  • Maintaining a strong understanding of firm policies to allow handling of certain issues independently
  • Responsible for participating in general administrative duties and taking on ad-hoc requests as required
Skills:
  • 3+ years of Admin Assistant experience
  • Requires excellent interpersonal and communication skills
  • Strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Strong organi s ational skills, coupled with great attention to detail
  • Ability to solve problems quickly and efficiently
  • Self-starter with excellent anticipation skills; problem solving; follow up and judgment
  • Comfortable working with people at all organizational levels
  • Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment
  • Must be able to prioritize a variety of time-sensitive tasks
  • Team player with a positive attitude
  • Highest degree of integrity, professionalism, diplomacy and discretion required with the ability to handle highly sensitive, confidential information with a high degree of integrity and confidentiality
