Job Description

Facilities Manager (Midlands - Roving) £30,000 pa + £3,000 car allowance Our client is looking for an experienced Facilities manager who will be looking after a portfolio of mixed-use commercial properties in the Midlands region.Responsibilities

  • The management and on-going monitoring of all Hard and Soft services delivered on site(s) to ensure effective performance delivery. Establishing planned preventative maintenance programmes where none exist.
  • Undertake regular contract meetings and monitoring with suppliers including a formal assessment of performance, competence and compliance through a performance management system (audit, monitoring and KPIs)
  • To carry out the procurement and placement of goods and services in line to secure best value with the departmental procedures using approved pre-qualification, invitation to tender, purchase order and contract documentation as appropriate.
  • Carry out timely and accurate invoice validation via the Proactis P2P system for services provided and works completed as well as monitoring on-going expenditure and ensuring the Management Surveyor/ Partner is made aware of any significant variances.
  • Attend any allocated site(s) at least once per quarter to monitor health and safety, property condition, service delivery, and staff and tenant liaison.
  • Complete a full property inspection quarterly and report using the agreed format/ templates, covering all FM areas.
  • Ensure that all Health, Safety and Environmental management systems are in place and maintained.
  • To ensure all services are delivered to the highest standards in keeping with the portfolio.
  • To ensure any service/ maintenance issues receive attention and are resolved within acceptable time parameters and all interested parties are kept fully advised.
  • To ensure that all property information is maintained, and information held is accurate and up to date and made available to the elogbooks helpdesk.
  • To ensure any works carried out at the properties, whether by Occupier or Landlord, are undertaken with the correct health and safety arrangements in place; safe systems of work, risk assessments and method statements, permits to work etc.
  • Liaison with Occupiers, on-site staff and service providers as necessary for effective running of the building
  • To achieve and maintain the departments ISO 45001 objectives for health and safety management and performance.
  • Assist with the implementation of any national/ regional FM service strategies across your allocated portfolio.
  • Complete monthly Key Area Review document to include status of ISO 45001 documentation.
  • Professional experience and personal skills profileQualifications/Personal Skills
  • IOSH managing safely essential.
  • Membership of BIFM and/or IOSH at the appropriate level is highly desirable.
  • Good standard of English grammar, spelling and take pride in presentation of work and self.
  • Professional Experience
  • At least 2 years’ Facilities Management experience with a good understanding of Managing Agent responsibilities
  • A good working knowledge of the relationship between Landlord and Tenant as it relates to commercial property.
  • Knowledge and experience of managing a variety of Health and Safety and related issues.
  • Good knowledge and experience of all soft services aspects of Facilities Management
  • An understanding of Hard services in the Facilities environment and the ability to articulate an issue in simple and accurate terms.
  • Awareness training in Fire Risk Assessment, Asbestos Awareness, Water Hygiene management
