Job Description

Our client is a prominent property management firm that specializes in managing prestigious commercial properties, including trophy assets, across the United Kingdom. They are committed to maintaining the highest standards of service and providing exceptionalexperiences for their tenants and stakeholders.As an Assistant Building Manager, you will play a crucial role in the smooth operation and management of a trophy asset located in Birmingham. The building comprises over 250,000 sq. ft of commercial space, housing multiple high-profile tenants. You willwork closely with the Building Manager and collaborate with various teams to ensure the propertys day-to-day operations, maintenance, and tenant satisfaction are at optimal levels.Responsibilities:Property Maintenance and Operations:

  • Assist the Building Manager in overseeing the maintenance and operations of the commercial property.
  • Conduct regular inspections of the building and its facilities to identify and address any maintenance issues promptly.
  • Coordinate with vendors and contractors to schedule repairs, renovations, and preventive maintenance activities.
  • Ensure compliance with health and safety regulations and implement measures to enhance the safety and security of the property.
Tenant Relations:
  • Build and maintain strong relationships with tenants, addressing their inquiries, concerns, and requests in a professional and timely manner.
  • Conduct regular tenant meetings to gather feedback and ensure high levels of tenant satisfaction.
  • Act as the point of contact for tenant-related issues and liaise with relevant internal teams to resolve matters effectively.
Financial Management:
  • Assist in managing the propertys budget and financial performance, including tracking expenses and preparing reports for senior management.
  • Collaborate with the finance team to process invoices, rent collections, and lease-related financial matters.
Building Technology and IT Management:
  • Exhibit strong IT skills and proficiency in utilizing property management software systems to maintain accurate records, tenant databases, and maintenance logs.
  • Work closely with the IT department to address any technology-related issues within the building and ensure seamless connectivity for tenants and employees.
Sustainability and Environmental Initiatives:
  • Support sustainability initiatives by monitoring energy usage, waste management, and implementing eco-friendly practices.
  • Assist in obtaining relevant certifications or accreditations for the propertys sustainable practices.
Emergency Response:
  • Be part of the emergency response team and coordinate evacuation procedures and other safety protocols during emergencies.
Qualifications and Skills:
  • An IOSH qualification.
  • Proven experience in an assistant building management role, preferably within a commercial real estate environment.
  • Strong IT skills, including proficiency in property management software and Microsoft Office Suite.
  • Excellent communication and interpersonal skills to effectively interact with tenants, vendors, and internal stakeholders.
  • Demonstrated ability to prioritize tasks, meet deadlines, and handle multiple responsibilities in a fast-paced environment.
  • Knowledge of health and safety regulations, building codes, and industry best practices.
  • A proactive and solution-oriented approach to problem-solving.
