Job Description

Assistant AdministratorBirmingham City Centre£22,000 - £24,000 (hybrid role)Our client is the UK’s leading specialist in commercial property and asset management. They are also an excellent employer who take fabulous care of their much valued staff…This is a fabulous opportunity for a competent and professional individual with c. one years’ experience in a similar role, to join this forward thinking and impressive business.This role assists the Team Administrator in providing administrative support to the Building Consultancy team and Portfolio team. You will be dealing with client, tenant and contractor queries in an effective and professional manner and ensuring that a firstclass service is maintained at all times.Responsibilities:

  • Maintaining an efficient electronic filing system by ensuring that the filing of documents is kept up to date, creating new files, scanning and archiving document and saving documents to the shared drive
  • Assisting the Team Administrator with collating and presenting team data on a regular basis for review with team leaders at team meetings
  • Setting up inspections including EPC inspections, FRA and Health and Safety inspections, valuations and insurance inspections
  • Answering the telephone in a courteous and helpful manner including overflow calls from reception and assisting with Client, Tenant and Contractor queries where possible
  • General administrative duties including photocopying & scanning documents, distributing post, responding to and creating emails, updating spreadsheets, taking minutes at meetings and producing letters and mail merges.
  • Editing of reports and documents ready for client issue
  • Assisting the Team Administrator with office duties including keeping refreshments and stationery stocked up, ensuring the office is generally clean and tidy, distributing post, updating office footfall data, organising office social events
  • Managing team diaries, arranging internal and external meetings, including organising lunches, travel arrangements and hotels where required
