Job Description

I am delighted to be working exclusively with a fantastic global manufacturing organisation who are recruiting for a Logistic Administrator to join their team. The role will fulfill a range of administrative functions within the Logistics Team, on behalfof the Global business, in the areas of freight invoice screening, packaging materials, recovery/ recycle and information systems upkeep. It is critical to deliver a high level of service to our internal customers whilst seeking to at all times to add valueto the business by supporting the accounts payable process to ensure all monies due are paid according to our negotiated terms.Job responsibilities include:

  • Conform to the procurement policies & treasury guidelines in the accounts payable areas of the legal entities. This will include working with Logistics, Customer Service, Distribution and Accounts Payable teams, together with vendors to the company
  • Support the delivery of defined, high quality transactional and business service associated with the Purchase to Pay process for provision of logistics and packaging services, to agreed performance and cost targets, on behalf of all relevant businesses& sites in an environment that encourages continuous improvement to the underlying global processes and outcomes
  • To ensure all European freight invoices from 3rd Party Logistics Service Providers are paid with agreed time frames. Identify and investigate deviations from standard rates, seeking explanation and authorisation as appropriate. Manage route and rate creationand maintenance
  • Raise service entries in SAP system for additional freight charges e.g. to cater for incorrect rates within system master data
  • To monitor the performance of all site / legal entities to ensure, correct site purchasing procedures are followed; service receipt & shipping costs are done in a timely manner and supplier behaviors and performance, particularly around compliance, kpireporting ensuring required documentation standards are met.
  • Ensure maximum value is extracted from our supplier base by adherence to supplier payment terms, gaining maximum benefit for working capital.
  • Pro-actively resolve any P2P process failures, in accordance with SLA requirements, ensuring corrective actions are taken and that lessons learned are incorporated in future operating processes
  • Raising of ores, feedstocks and packaging Purchase requisitions and purchase orders.
  • Preparation of financial data for accounts payables and hedging information.
Candidate requirements:
  • Preferably educated to diploma level or equivalent qualification in a related subject (or demonstrated thinking skills equivalent to) e.g. Business Administration.
  • At least 3-5 years of administrative experience.
  • Knowledge of logistics field is desirable.
  • Excellent self management skills and a good communicator
  • Competent in creating and presenting data
  • Have a broad knowledge of relevant SAP functionality coupled with good IT/PC literacy, specifically in the use of Microsoft office
  • Be competent in the use of the ERP reporting systems
  • Have a general knowledge of the Accounts Payable process and a detailed understanding of the process for checking and authorisation of freight invoices
  • Have a background knowledge of the logistics process and principles and the Supply Chain within the businesses, particularly the 3rd party service providers
  • Know the EHS framework for a Supply Chain e.g. Product Stewardship
Although this role sits within the logistics function, prior experience is only desirable.
