Job Description

MTVH are seeking to recruit Team Coordinators to work with and provide support to our Compliance Team based at our Waterfront House Site in Beeston. This fantastic office environment supports agile working with WFH 2 days per week, if required with workinghours of 9am to 5.30pm Monday to Friday.Free on-site parking is available.The Team Coordinators role will see you delivering excellent compliance performance along with the smooth day to day repairs service to our residents and front-line staff.The role will include, answering the telephone, supporting the Head of Service, Contract Managers and Contract Officers in compiling reports, monitoring KPIs alongside dealing with day-to-day queries from our front-line staff and on occasions residents ensuringthey are routed appropriately within the team. You will also co-ordinate complaints and provide cover in case of absence.This post will require flexibility and at times you may be asked to complete a range of administrative tasks to help deliver the services that the team is responsible for. Help may be requested to support other compliance teams where required.Key Responsibilities

  • Monitor progress on contractor complaints turnaround and to support the team to manage a quick turnaround of enquiries
  • Provide the head of Compliance and Contract Managers with business and performance data and lead on internal IT requests
  • Organise meetings and events as required both internal and external contract review meetings, including drafting agendas, booking rooms and refreshments, collecting visitors, and typing minutes.
  • Provide support for Contract Officers who are out of the office or on leave, or who need general assistance with a large project
  • Support the team to manage the work of contractors e.g., rebooking compliance or repair appointments with customers, escalating appropriately where necessary
  • Ensuring queries are allocated to the correct team members and responded to promptly
  • Undertake any other administrative/clerical tasks as necessary
  • Support the business with designing and implementing training, being the point of contact for the team when they require support from internal stakeholders
  • Provide administrative support to the Contract Managers within the team relating to their duties & responsibilities
What youll need to succeed
  • Experience of developing and running administrative systems and procedures
  • Experience of managing conflicting priorities in a busy office environment
  • Take responsibility for your own learning and development
  • Excellent PC skills including Microsoft Word and Excel, Email, and Calendar Systems
  • Experience of effectively managing multiple tasks in a busy environment
  • A self-motivated, ambitious team player who can manage their own time.
  • Experience of taking minutes and administration
