Programmes AdministratorGrade 4

  • £18,483 per annum Term time only - Full Time - Permanent.
Reach Education are looking to recruit a Programme Administrator for a school in Barnsley.Purpose of the Role as a Programme AdministratorAs Programme Administrator you will work as part of the Business Support Team, which plays a key role in supporting the school to deliver high quality services. There are a variety of administrative and business support duties that may form part of yourjob. It will be expected that you deal with information which may be sensitive or confidential. The purpose of the post is to work as an integral part of the Business Support Team taking particular responsibility for the administration/business support relatedto special educational needs and the schools statutory obligations in this area. At this level you may also provide advice and guidance to other members of the team.System Management
  • Ensure that effective and appropriate systems are developed, implemented, maintained and monitored when supporting the schools practices and procedures
  • Ensure the efficient management of the statutory obligations to those students who have special educational needs
Management Information
  • Maintain aspects of the operational implementation of the schools Special Educational Needs policy
  • Manage the schools administrative arrangements in relation to Statutory Assessment, Annual Review, Transitional Reviews and EHCP/IEP development and review etc
  • Maintain the schools SEND register
  • Manage arrangements and liaise with outside agencies and feeder or destination schools on SEN matters such as student transfer, assessment and external support
  • Ensure meetings and events are arranged and prepared for in a timely manner and are serviced and recorded appropriately and accurately
  • Distribute appropriate information prior to meetings
  • Support communication with parents with regards to SEND reviews
  • To ensure documents are produced and formatted to school standards and within deadlines
  • To provide assistance to other staff within the Business Support Team/School
Support for the School
  • Work closely with the Senior Leadership Team/Teachers to ensure accuracy and relevance of report contents
  • Process pupil data on the relevant MIS including entering all new pupils, updating pupil records, producing reports and dealing with Common Transfer Files as required
  • Administer a range of reports and learning maps for pupils including gathering, checking and distributing as required
  • Provide cover for the reception area as and when required
  • Provide administrative support to the Senior Leadership Team as required and under the direction of the Senior Office Manager
  • Assist the Senior Office Manager in the discharge of their duties as workload requires
  • Word processing of letters, documents, purchase orders and reports as required
  • Develop and promote high standards throughout the school community
  • Be familiar and comply with all relevant Health and Safety, Operational, Personnel, Child Protection, Data Protection and Financial Regulations policies and procedures
  • Be aware of and support difference and ensure all pupils have equal access to opportunities to learn and develop
  • Contribute to overall ethos/work/aims of the school
  • Appreciate and support the role of other professionals
  • Attend relevant meetings as required
  • Participate in training and other learning activities and performance development as required

  • Undertake Team Teach training
  • Be prepared if required, to work on either a temporary or an indefinite basis at any premises which the Trust currently has or may subsequently acquire or at any premises at which it may from time to time provide services
  • Undertake any other duties, commensurate within the grade, at the discretion of the Head of School or your line-manager.
QualificationsYour role as a Programme Administrator would require the following essentials.
  • Business & Administration NVQ 2, or equivalent qualification or able to demonstrate equivalent skills
  • Educated to GCSE level or above in English and Maths or able to demonstrate ability to work at this level
  • Numeracy and literacy skills in order to produce specialist documentation and statistical information
  • Proven experience of administrative or business support
  • Strong IT skills across all common and industry specific programs
  • Understanding of the basic principles of customer care and providing an effective service
  • Appreciation of the need to maintain the strictest confidentiality about matters concerning school and how this relates to the duties of the post.
  • Ability to demonstrate strong communication/literacy skills and use these skills to produce specialist documents and reports; provide general administrative support; and plan, organise and minute meetings.
  • Commitment to undertake continued training and development, including Team Teach and First Aid
  • Ability to work across sites if necessary and travel between settings so driving would be required.
