Role Purpose To provide the highest possible standard of secretarial and clerical support, ensuring that the service is professional, effective and makes optimum use of the resources availableCore Responsibilities and Key Accountabilities
  • 30% of the role will audio medical typing
  • Provide secretarial support to Consultants, clients and hospital staff
  • Ensure that typed documentation is of the highest standard
  • Maintain accurate documentation and files
  • Communicate effectively/timely all verbal and written messages, responding to urgent requests
  • Closely liaise with bookings/admissions office regarding requests via Consultants for patient admissions
  • Collate information as required/requested
  • Answer and respond to telephone enquiries
  • Assist in the filing and retrieval of medical records for your consultants
  • Photocopy and fax as required
  • Provide organisation of office to include -holidays, sickness and training
  • Organise and manage daily activities of office demands, prioritising workload
  • Participate in monthly quality audits
  • Assist other Hospital areas as requested by Medical Secretaries Team Leader
  • Present a co-operative and helpful image
  • Report all accidents and untoward incidents and record in appropriate manner
  • Attend and participate in unit meetings and cascade information at your own departmental unit meetings. These are to be minuted and held on a monthly basis
  • Show a commitment to the quality standards and Care Quality Commission
  • Ensure completion of performance reviews
  • Participate in hospital cover / manager on-call rotas including week nights and weekend shifts, where applicable.
  • To deputise for line manager in their absence, as appropriate.
  • Commitment to ensuring quality services are delivered to both internal & external stakeholders through continuous improvement activities.
  • Compliance Group Policies and Procedures relevant to this role, ensuring you are fully aware of your responsibilities within these policies.
  • Demonstrate awareness of regulatory requirements, taking appropriate action to ensure these requirements are implemented and adhered to.
  • To be aware of your responsibilities in relation to safeguarding children and vulnerable adults. To ensure you are aware of your responsibilities, supporting policies and undertake the appropriate level of training for your role.
  • Undertaking specific role related competencies and learning, ensuring 100% compliance of all relevant mandatory training within Learning Space timescales.

Knowledge, Skills and Qualifications
  • Previous Medical Secretarial experience is essential
  • GCE/GCSEs subjects to include English Language
  • Word Processing/RSA II
  • 1 year part qualification RSA Part I
  • Typing skills (WP/RSA/PC Literate)
  • Ability to deal with sensitive issues with empathy and the ability to generate rapport with individuals rapidly
  • You will have confidence and ability to convey information in a clear and concise way
  • You will have excellent verbal and written communication skills
  • Strong interpersonal skills
  • Good time management and multi-tasking abilities -
  • Ability to work on own initiative making informed decisions within area of responsibility.
  • Ability to remain calm and retain control when faced with difficulty.
